Our client, seeks to recruit an energetic and self motivated individual to fill the vacant post of;

PROCUREMENT OFFICER

Location: Lilongwe

JOB PURPOSE 

To support the procurement of quality, cost efficient goods and services that meet internal customer requirements and specifications, in a timely manner to support efficient business operations.

RESPONSIBILITIESREPORTING TO PROCUREMENT MANAGER THE ROLE WILL BE RESPONSIBLE TO:

  • Maintain an up to date data base of suppliers for locally sourced products and services:
    • Continually identify suppliers of goods and services who are able to deliver to prescribed procurement guidelines and product specifications and present these to the section manager for vetting and approval.
    • Update the supplier database accordingly
  • Develop and maintain quality relations with key suppliers:
    • Develop long term supplier partnerships with new and existing vendors. o Renegotiate and ensure valid contracts.
    • Maintain continuous communication with suppliers on business issues that impact them.
    • Develop and implement SLAs with user departments. o Monitor and improve partner satisfaction
  • Order goods and services from approved suppliers and in line with business requirements and standards:
    • Receive user’s requisitions for goods and services and check to confirm that they are as per the procurement guidelines. o Prepare Request for Information, Request for Quotation and Request for Proposals, Reverse Auction to service providers.
    • Receive proposals, Bills of Quantities and quotations.
    • Analyze the quotations, secure approval and communicate with the department contact persons, to facilitate the raising of quotations in oracle.
  • Manage the documentation and record keeping related to the sections activities:
    • Process documentation             including               purchase           orders and       procurement               related communication.
    • File section documents, letters etc.
  • Manage, monitor and coordinate the availability of trading stock to avoid run out or overstocking:
    • Prepare the stock forecast report and plan for stock. o Liaise with IT for data to send to the supplier for timely production and delivery of stock. o Liaise with the clearing and forwarding agent to clear sim and scratch cards. o Inspect stock on delivery to ensure it meets group approved samples.

QUALIFICATIONS, EXPERIENCE & KNOWLEDGE

  • Bachelor’s Degree in Procurement and Supply Chain/Business Administration. Or CIPS level 6 of the Chartered Institute of Procurement & Supply (UK).
  • Member of Malawi Institute of Procurement and Supply (MIPS).
  • 3 years practical experience in a procurement function.
  • Accustomed to working in fast moving and changing environments and to deadlines.
  • Experience of administering all aspects of E-procurement, ideally with experience of sourcing and procuring a large and varied range of products and services.
  • Excellent computer knowledge.

  • Attention to detail and follow through. o Good negotiations skills.
  • Excellent communication skills, both oral and written
  • Good knowledge of document administration.
  • Self-motivated.
  • Problem solving skills.
