1. THE ORGANIZATION
The Forum for African Women Educationalists in Malawi (FAWEMA) is a registered non- governmental organization which brings together educationalists to support and promote education for girls and women in Malawi. FAWEMA works in close partnership with Government, development partners and other stakeholders to support girls and women to acquire education and training for development through advocacy and demonstrative interventions.

2. POSITIONS
2.1 Finance and Administration Officer Intern (to be based in Lilongwe, FAWEMA Secretariat – 1 Position)
Key Duties and Responsibilities
Finance Duties:
- Entering financial transactions into the internal database (Accounting system)
- Managing accounts payable (bill payments, petty cash etc.) and receivable through cash / cheque in a timely manner.
- Supporting budgeting processes.
- Assist in compiling financial reports.
- Filing all accounting transaction records
- Maintaining and reconciling liquidations in a timely manner.
- Ensuring all transactions have been accounted for accurately and on time.
- Assisting in scanning accounting documents to support the financial reports which are sent the donors on a monthly basis.
- Preparation of payment vouchers.
- Following up of receipts with suppliers and service providers
Administration Duties
- Assist Administration Officer in managing office utilities, tenancy agreements, rentals, maintenance, repairs, and ensuring a steady inventory of office stationery and consumables.
- Assist in supervising reception, managing incoming/outgoing correspondence, and directing visitors, stakeholders or inquiries to the appropriate departments.
- In liaison with Procurement Officer assist in procuring office equipment, furniture, and services in a cost-effective manner while adhering to donor and organizational procurement policies.
- In conjunction with Administrative Officer, ensure that assets which are not in use are properly listed and recommended for disposal.
- Assist Administration Officer in performance management measures for and supervision of drivers.
- With guidance from Administration Officer, assist in external communication with suppliers, hotels, and service providers to establish cordial and reliable partnerships.
- Assist Administration Officer in maintaining and updating a centralized register for all organizational assets (including vehicles, laptops, and furniture), ensuring they are properly insured and tagged.
- Assist Administration Officer in coordinating travel logistics and accommodation for staff, visitors and partners and ensure travel and meetings are adequately supported.
- Assist in coordinating the use, maintenance, and scheduling of FAWEMA vehicles to ensure safety andefficient transport for administrative operations.
- Assist Administration Officer in ensuring that all necessary equipment (projectors, cameras and corporate banners) are available and functional.
- Assisting with administrative paperwork for office goods and items and maintaining administrative records.
- Support cross-departmental functions by acting as a bridge between program, finance, administration and field teams to ensure smooth communication and collaboration.
Requirements and skills
- A Bachelor’s Degree in Accounting, Finance, Public or Business Administration, or Business Management
- Understanding of basics of education rights, education of young women and women will be an added advantage
- Knowledge of and demonstrated experience in fleet management will be added advantage.
- Knowledge of basic bookkeeping procedures.
- Familiarity with finance regulations.
- Good mathematical skills and the ability to spot numerical errors.
- Hands-on experience with MS Excel and accounting software (e.g. QuickBooks).
- Good organization skills.
- Ability to handle sensitive and confidential information.
- Ability to manage various workload volumes is also essential, as that might fluctuate daily.
- Ability to work in a team of professionals and adhere to office etiquette.
- Ability to communicate effectively in English.
- Excellent verbal and written communications skills.
- High level of integrity, open and transparent personality.
2.2 Monitoring and Evaluation Officer Intern (to be based in Lilongwe, FAWEMA Secretariat) – 1 Position
Reporting to the Monitoring and Evaluation Manager, the Monitoring and Evaluation Officer Intern will perform the following duties among others:
Key Duties and Responsibilities
- Assist in improving and implementing the M&E framework for FAWEMA and ensure that the corporate system is working as stipulated.
- Assist in ensuring that donor reports and the Annual Program Progress Reports are compliant with the set standards.
- Assist in ensuring that the data needed to demonstrate quality, impact and effectiveness is collected, organized and disseminated.
- Assist in providing quality and effectiveness assessment reports to the Monitoring and Evaluation Manager and/or project teams.
- Assist in identifying areas for improvement and documenting them for presentation to the Monitoring and Evaluation Manager.
- Assist in ensuring quality delivery of services against department goals and objectives.
- Working with project managers to develop schedules and resource allocation models in line with the project specifications and guidelines.
- Assist in anticipating program related risks and take corrective action, escalating as needed, to resolve and achieve commitment.
- Assist in disseminating learning from various initiatives to all stakeholders inside and outside the organization.
- Work with FAWEMA partners through the Monitoring and Evaluation Manager to improve the use and quality of data and monitoring and evaluation to inform decision making.
Qualifications, Experience and Competencies.
- A Bachelor’s degree in areas related to Knowledge Management, Monitoring and Evaluation, Statistics, Social Science and Research.
- Relevant experience working in an international or local NGO is added advantage.
- A solid understanding of Research and Knowledge Management principles, practices, tools and products will have added advantage.
- Experience in designing, planning and implementing Monitoring and Evaluation and knowledge-related initiatives, coordinating/collaborating with other teams and executing/facilitating programs and events involving knowledge management or learning.
- Prior experience with M&E in the area of development is an advantage.
- Strong organizational and interpersonal skills.
- Ability to meet deadlines and to manage multiple tasks effectively and efficiently,▪ Ability to take initiative and be innovative.
- Working knowledge of relevant computer software and data tools (e.g. Excel, Kobo Toolbox, Power BI, Google Forms, SPSS, STATA or equivalent).
- Ability to work in a team of professionals.
- Ability to communicate effectively in English.
- Excellent verbal and written communications skills.
- Ability to quickly adapt technical guidance to any given operating environment.
