Key Responsibilities:
SUPPLY CHAIN MANAGER – (GRADE HAY 16)
based at National Office, Lilongwe, Malawi
Purpose of Position;
To provide leadership and management to the supply chain unit – to ensure that relevant and sufficient policies, procedures, controls and necessary skills are in place to support the operations of the WV Malawi, in a timely, effective, professional and cost-effective manner.
Summary Key Responsibilities
- Provides line management and leadership to the supply chain function.
- Build capacity for Supply Chain, staff, Procurement Committees and other stakeholders through identification of training gaps, provision of training, and facilitation of training (in-house or outsourced); support development of strategic sourcing and category management capability
- Lead Procurement Planning & Demand Management, ensuring alignment of procurement plans with programme requirements and funding cycles
- Drive Supplier Relationship Management (SRM) including supplier performance monitoring, evaluations, and continuous improvement initiatives
- Oversee Contract Lifecycle Management (CLM) including contract development, negotiation, and compliance monitoring
- Ensure efficient Procurement Operations (Requisition to PO) including process optimisation and reduction of bottlenecks
- Drive utilisation of Digital Systems (ProVision, SIM, CLM, Power BI) and strengthen data accuracy and reporting capability.
- Oversee Logistics, Inventory & Asset Management, ensuring effective tracking, storage, and distribution of goods
- Ensure Compliance, Risk & Audit Management, maintaining audit-ready documentation and mitigating supply chain risks
- Providing monthly reports to Senior Leadership Team and Regional Office for monitoring and decision making
- Managing the conduction of Annual Suppliers Symposiums
- Managing supplier relationship and annual supplier performance appraisal
- Managing supply chain Involvement in the project closure to ensure that all procurement related issues and requirements for project closures have been implemented
- Managing the risks by being responsive to internal and external environment and come up with an updated Risk Matrix for the function
- Managing appropriate systems and procedures to avoid significant audit risk findings, both at the NO and field levels.
Knowledge, Skills & Abilities
- Master’s degree in Supply Chain Management, or MBA (if the holder has procurement related professional diploma or procurement-related first degree)
- Bachelor’s degree in Supply Chain Management or Bachelor’s Degree in Procurement and Logistics Management
- Minimum of 8 years in Supply Chain Management or Logistics and Procurement
- Experience managing statutory and donor audits
- Substantive experience working in the NGO sector dealing with multiple donor funds and meeting different donor requirements
- Proven experience in supervision of staff within different expertise
- Demonstrated high proficiency levels of electronic systems related to procurement management.
- Extended operational experience in global supply chain management, business process improvement, project management and team based organizational change management.
- Experience in business and program analysis and possessing good analytical and negotiating skills.
License, registration, or certification required:
- Membership to Supply Chain professional bodies is required
