Vacancy – Accounts Payable Supervisor

Lotus Africa seeks to recruit a suitably qualified and motivated individual to the post of
Accounts Payable Supervisor at Kayelekera Uranium Mine in Karonga.

Job Summary

The Accounts Payable Supervisor is responsible for leading and managing the end-to-
end accounts payable (AP) function across multiple regions and entities. This role ensures accurate and timely processing of invoices, effective supplier relationship management, compliance with financial controls, and optimization of cash flow. The position requires strong leadership, deep expertise in procure-to-pay (P2P) processes, and the ability to drive continuous improvement within AP systems and operations.

Key Responsibilities

Accounts Payable Operations

  • Oversee the full accounts payable cycle, including invoice processing, verification, and
    payments.
  • Ensure all invoices (PO and non-PO) are processed accurately and within agreed
    timelines.
  • Monitor and manage reconciliation processes, including supplier and bank
    reconciliations.
  • Ensure adherence to company policies, procedures, and financial controls.

Team Leadership & Management

  • Lead, mentor, and develop AP teams.
  • Allocate workloads and ensure team performance meets defined KPIs.
  • Conduct performance management, training, and continuous development of staff.
  • Foster a collaborative and high-performance team environment.

Vendor & Stakeholder Management

  • Maintain strong relationships with suppliers and internal stakeholders.
  • Resolve supplier queries, disputes, and escalations in a timely manner.
  • Ensure vendor master data is accurate and compliant with company standards.
  • Communicate payment schedules and updates proactively to suppliers.

Cash Flow & Treasury Coordination

  • Optimize cash flow by adhering to payment terms and leveraging early payment discounts.
  • Coordinate with treasury for funding requirements and payment execution.
  • Monitor payment cycles to minimize risks such as supply disruption.

Reporting & Compliance

  • Prepare and present monthly AP reports and KPIs to senior stakeholders.
  • Ensure compliance with accounting standards, internal controls, and audit requirements.
  • Support internal and external audits by providing accurate documentation and responses.
  • Maintain data integrity across ERP systems (e.g., SAP) and reporting tools.

Process Improvement & Systems

  • Identify inefficiencies and implement process improvements within AP operations.
  • Support or lead implementation of AP systems (e.g., invoice management systems).
  • Perform root cause analysis on processing errors and implement corrective actions.
  • Ensure proper utilization of AP tools and systems for tracking and reporting.

Key Requirements

Education & Experience

  • Diploma or degree in Finance, Accounting, or related field.
  • Minimum 10+ years of experience in Accounts Payable, with significant leadership
    experience.
  • Experience in large, multinational organizations (preferably mining or FMCG industries).
  • Strong exposure to shared services or global AP environments.

Technical Skills

  • Strong knowledge of Procure-to-Pay (P2P) processes.
  • Experience with ERP systems such as SAP.
  • Advanced reconciliation and financial reporting skills.
  • Proficiency in Microsoft Excel and financial systems.
