PRE-QUALIFICATION OF SUPPLIERS FOR VARIOUS GOODS AND SERVICES

 The Ekhaya Group of Companies intends to develop a concise list of suppliers to be used for the purposes of the Request for Quotation (RFQ) procurement method.

The Ekhaya Group invites potential bidders to submit expressions of interest for pre-qualification for the supply of goods, works, and services to the Business Units within the Group. Local suppliers, including small and medium enterprises (SMEs), are encouraged to apply.

Bidders are allowed to apply for pre-qualification in any category of their expertise. The available pre-qualification categories are illustrated in the tables below.

INSTRUCTIONS TO APPLICANTS

Interested applicants must meet the following minimum requirements:

1. ELIGIBILITY CRITERIA

• Be a legally registered business entity.
• Have a valid tax registration and clearance certificate.
• Have relevant experience in supply of goods or services in the category applied for.
• Demonstrate financial and technical competence.
• Comply with ethical business practices and regulatory requirements.
• Bidders are advised to apply for prequalification in any category of their expertise, and free to bid for one or more lots.

1. SUBMISSION FORMAT

• Documents must be clearly typed and written in English.
• All submissions should be bound, stamped and signed by authorized personnel.
• Submissions must be delivered in a sealed envelope, clearly marked’ ’Prequalification for {Category name}’’ to the address provided.
• Bidders are advised to make three (3) copies of the submitted documents and pay a non-refundable fee of MK25,000.00 to be deposited to the following Bank account details (Proof of payment / deposit slip / transfer confirmation to be enclosed together with the submitted bidding documents):

• EVALUATION CRITERIA

The prequalification will be based on the following evaluation criteria:

1. SUBMISSION

Interested suppliers should submit their applications together with the following documents:

1. Business registration certificate;
2. Detailed profile of the business including the name, registered address, telephone numbers, location, physical address, e-mail and profile of the key staff;
3. A copy of Tax Registration Certificate and Tax Clearance Certificate for the      2025-2026 financial year;
4. A valid PPDA Certificate;
5. Minimum of three clientele references from reputable Organizations.

Submit your completed pre-qualification documents in sealed envelopes clearly marked on the envelopes “Pre-qualification of Suppliers/Service Providers” to be hand delivered to the address below by close of business day on Friday, 7^th August 2026. Late submissions and Electronically submitted bids will be rejected.
