REQUEST FOR QUOTATIONS (RFQ)
PROVISION OF SELF-DRIVE VEHICLE HIRE SERVICES FOR THE GENDER AND JUSTICE UNIT (GJU)
The Gender and Justice Unit (GJU) is a Malawian non-governmental organization committed to advancing social justice and gender equality through strategic programs and community engagement. GJU invites quotations from reputable and suitably qualified car hire companies for the provision of self-drive vehicle hire services for official organisational travel.
GJU is seeking to establish a pool of reliable car hire companies that can provide suitable vehicles on a self-drive basis, to be driven by GJU’s designated driver.
GJU is requesting quotations for fixed daily rates for self-drive vehicles in the following categories:
- Minibus: Toyota Quantum or equivalent.
- 4×4 Vehicle: Toyota Fortuner GD-6, Ford Everest or equivalent.
Companies may quote for one or both categories, depending on the vehicles available in their fleet.
The vehicles should be in good mechanical and roadworthy condition, properly insured, and suitable for both local and long-distance travel.
Quotation Requirements – Quotations should clearly indicate:
- The vehicle make, and model;
- Seating capacity;
- Fixed daily hire rate in Malawi Kwacha (MWK);
- Insurance coverage; and
- Any other conditions applicable to the hire.
Please note: GJU is specifically seeking self-drive vehicle hire services. Companies that only provide vehicles with their own drivers should not quote for this requirement.
Company Documentation – Interested companies should submit the following:
- Company profile;
- Certificate of Registration/Incorporation;
- Valid Tax Clearance Certificate;
- Details of vehicles available for self-drive hire;
- Evidence of valid vehicle insurance; and
- At least two relevant client references, where available.
Evaluation – Quotations received will be evaluated by GJU’s Internal Procurement Committee (IPC) in accordance with GJU’s procurement procedures.
The evaluation will consider:
- Availability of self-drive vehicles;
- Suitability and condition of the vehicles;
- Competitiveness of the fixed daily rates;
- Insurance and vehicle documentation;
- Company experience and reliability; and
- Overall suitability to GJU’s requirements.
Following the evaluation, GJU may select one or two suitable service providers to enter into a service agreement for the provision of self-drive vehicle hire services. Selection under this RFQ does not guarantee a minimum volume of business. Vehicles will be hired based on GJU’s operational requirements and availability.
