 Baylor College of Medicine Children’s Foundation – Malawi (BFM) is a not-for-profit organization working in partnership with the Malawi Government in the health sector. Our Mission is to provide high-quality, high-impact, highly ethical pediatric and family-centered health care, health professional training and clinical research, focused on HIV/AIDS, tuberculosis, malaria, malnutrition and other conditions impacting the health and well-being of children and families worldwide.

BFM is seeking qualified candidates to fill the position of:

Position: Program Manager (Pediatric Hematology and Oncology)

Contract Duration: 1 year (renewable based on performance and funding availability)

Location: Kamuzu Central Hospital at the Cancer Centre

Reports to: Medical Director

STATUS: Full time (40 hours per week).

 Position description and responsibilities

Responsible for coordinating administrative operations of the BFM Pediatric Hematology & Oncology (PHO) program, contributing to the development and implementation of policies and procedures, and ensuring compliance. The role involves making routine decisions to resolve complex operational issues through project facilitation and includes variable supervisory responsibility, with primary oversight of the PHO Program and management of project teams.

Essential Responsibilities

 Manages implementation of the PHO Program plan and assures operational excellence, successful execution of goals, and scalable infrastructure.

  • Implements the vision and mission of PHO Program.
  • Collaborates with Executive Director, physician leadership and Texas Children’s Global HOPE team to lead the successful operation of the PHO Program.
  • Establishes and maintains Texas Children’s Global HOPE Program implementation plans and project status reports.
  • Manages processes to secure PHO infrastructure development and growth of the program.
  • Monitors progress of PHO completion and department initiatives against approved plans, metrics and budgets.
  • Facilitate implementation of administrative, educational, clinical and research projects and ensure that activities are carried out in accordance with specified objectives.
  • Determines necessary adjustments to project plans with approval of BFM PHO leadership and Texas Children’s Global HOPE team.
  • Provides recommendations to not only meet but exceed business goals and realign processes when needed.

Ensure PHO financial health through efficient utilization of funding and develop strategies to ensure Program financial sustainability

  • Establishes and manages PHO program activities within approved budget.
  • Oversees timely submission of monthly financial reporting to Texas Children’s Global HOPE.
  • Works collaboratively to develop strategy to raise funds to support program operation and long-term sustainability.
  • Participates in the preparation of grant proposals to parent institutions and external entities including international agencies and private foundations; conducts budget planning, manages expenditures.

Educates staff on Texas Children’s Global HOPE clinical standards and procedures.

  • Organizes and participates in the design of standard operating procedures.
  • Ensures compliance with standard operating procedures.
  • Provides individual education sessions with department staff to ensure compliance with process as it related to project work.
  • Follows up with staff and leaders who require additional training on policy and procedures
  • Determines, analyzes, and formulates current practices, user needs, and workflow processes, issues, and potential solutions.

Lead recruitment and management of physicians and staff for PHO Program.

  • Assess staff needs for PHO Program and participate in development of staffing plan.
  • Collaborates with Texas Children’s Global HOPE faculty and administrative leadership in the recruitment of PHO Program staff.
  • In collaboration with leadership, coordinates and maintains recruitment plans, timeline, verifying funding stream, and status reports.
  • Maintains active working knowledge of PHO program demands, needs, and environment to successfully place and manage programs, physicians and staff assignments and to proactively identify and address operation issues.
  • Coordinates resources and personnel to facilitate successful completion of PHO program.
  • Participates in training and development sessions to ensure positive PHO Program growth.

Develops strategic communications with internal and external stakeholders to enhance Global HOPE Program visibility.

  • Develops strategic internal communications (e.g. presentations, dashboards, reports) for PHO Program leadership pertaining to funding and operations.
  • Formally represents PHO Program and Texas Children’s Global HOPE at meetings and events, engagements with this international community domestically and abroad
  • Works collaboratively to develop strategy and operational tactics for Baylor Foundation Malawi and Texas Children’s Global HOPE brand enhancement and positioning

Qualifications and Experience

  • Bachelor’s Degree in Project Management, Business Administration, or a related field; a Master’s Degree (MBA or equivalent) is an added advantage
  • Minimum of 5–10 years of progressive project management experience, with a proven track record of delivering projects from initiation to completion
  • Demonstrated experience managing budgets, timelines, risks, and multidisciplinary teams, preferably within donor-funded projects, NGOs, or corporate environments
  • Strong stakeholder engagement skills, with excellent communication abilities
  • Proficiency in project management tools and systems
  • Ability to work under pressure, meet tight deadlines, and maintain high levels of integrity, professionalism, and attention to detail.
  • Requires knowledge of hospital and departmental practices, computer systems, and standard software, along with familiarity with data processing and diverse hardware/software environments. A strong understanding of the healthcare industry and global health program operations is also essential.
  • Requires strong project management, multitasking, planning, and process mapping skills, along with leadership, teamwork, communication, analytical, and organizational abilities. The role also demands the ability to analyze systems and work independently with minimal supervision. Bilingual proficiency is an added advantage.

WORKING CONDITIONS – Conditions which differ from the normal office work environment include working in an international environment.
