POSITION: Human Resources Assistant

Overview
Bespat Human Capital Management is a Human Resource Recruitment and Management provider committed to delivering a leading-edge people management solutions and consulting services to businesses, organizations, and government institutions.
We are seeking a detail-oriented and proactive Human Resources Assistant to support the HR team in delivering efficient and effective human resource services to Bespat Holdings Limited and its clients. The successful candidate will assist in day-to-day HR operations and contribute to the smooth implementation of HR policies, procedures, and programs.
Key Responsibilities
- Policy Compliance and Employee Conduct.
- Assist in monitoring employee adherence to company policies, procedures, and code of conduct across Bespat Holdings Limited and its clients.
- Support the communication and clarification of HR policies to employees.
- Report cases of non-compliance to the HR Manager for appropriate action.
- Help ensure workplace practices align with internal standards and labour regulations.
- Recruitment and Selection Support.
- Assist in drafting and posting job advertisements on relevant platforms.
- Screen applications and support the shortlisting of suitable candidates.
- Schedule interviews and coordinate communication between candidates and hiring managers.
- Prepare interview packs and documentation.
- Support pre-employment checks such as reference and background verification.
- Assist in preparing employment contracts and onboarding documentation.
- Employee Records Management
- Maintain accurate and up-to-date employee files (both physical and electronic).
- Ensure proper filing of contracts, disciplinary records, leave records, and personal information.
- Safeguard confidential employee data and ensure compliance with data protection standards.
- Regularly audit records to ensure completeness and accuracy.
- HR Reporting and Data Management
- Assist in compiling HR reports on employee performance.
- Support data collection for training needs analysis.
- Support general administrative duties within HR department as and when required.
- Onboarding and Induction
- Assist in coordinating onboarding processes for new employees and prepare induction schedules and materials.
- Ensure completion of all onboarding documentation (contracts, forms, policies acknowledgment).
- Assist in facilitating orientation sessions to familiarize new employees with company culture and expectations.
- Training and Development Coordination
- Assist in identifying training needs in collaboration with supervisors and management.
- Maintain training records and track employee participation.
- Disciplinary and Grievance Procedures
- Assist in preparing documentation for disciplinary hearings (charge sheets, notices, evidence files).
- Take minutes during disciplinary proceedings where required.
- Employee Relations and HR Support
- Serve as a first point of contact for employee queries and concerns
- Escalate complex issues to the HR Manager
- Promote a positive working environment through effective communication and support
Qualifications & Experience
- Diploma or Bachelor’s Degree in Human Resources, Public Administration, or a related field
- Candidates with qualifications in other fields but with relevant HR experience are encouraged to apply
- Previous experience in an HR support or administrative role will be an added advantage
