Role Summary

We seek to hire Operations and Security Coordinator. This is a temporary maternity cover role for the period of 6 months. The role reports to the Country Director, will also work closely with central teams, including the Global Security and Operations Team and Finance Team.

The postholder will deliver excellent staff safety, compliance, operational resilience, and administrative support to our people and work closely with our teams on the ground. The successful candidate should have the right to work in Malawi, and must be fluent in spoken and written English.

The postholder will be either directly responsible for implementing the tasks below or will provide oversight of staff and departments that perform these functions

Key Responsibilities

Safety, Security and Infrastructure Oversight

  • Coordinate implementation of safety and security protocols across the office and residences, including access control, guard coordination, and safety equipment upkeep.
  • Carry out a security readiness assessment, provide recommendations to country leadership, and implement necessary measures when approved.
  • Ensure that all safety and security equipment including medical and firefighting equipment is effectively distributed and maintained to the appropriate standards and is serviced according to the recommended maintenance schedule
  • Act as a focal point for in-country safety and security matters, including incident reporting and adherence to internal SOPs.

Business Continuity and Operational Readiness

  • Maintain and update staff communication trees, emergency contact lists, and remote work protocols in alignment with internal business continuity plans.
  • Support coordination of essential supplies and services to ensure operational resilience.
  • Ensure staff check-in and accountability systems are tested and functional, including procedures for working from home, restrictred movement, or temporary closures.
  • Coordinate with regional/global teams on context updates and internal planning.

Duty of Care Oversight

  • Support the Country Director in upholding duty of care standards by ensuring that travel arrangements, vendor relationships, and fleet operations are aligned with TBI safety policies, access protocols, and financial efficiency.
  • Monitor that transportation, accommodation, and service providers meet agreed safety and reliability standards, and that all related procedures are documented and regularly reviewed for compliance.
  • Coordinate with internal teams to ensure staff mobility, vehicle readiness, and vendor service delivery meet expectations for safe and uninterrupted operations.
  • Provide regular briefs on operational readiness, business continuity contingency plans, and potential events.
  • Coordinate in-country moves outside of core locations
  • Support visa applications and arrival procedures of international staff and visitors to the programme
  • Ensure that all international staff and visitors have a working means of communication within 24 hours of arrival in country.
  • Support VIP visits and coordinate with Senior Leadership, Travel Team and Institute Resources to manage on the ground requirements

Finance

  • Maintain the monthly finance tracker and petty cash
  • Manage financial activities in compliance with TBI policy and procedures
  • Supports the CH and team in financial management including preparing requests for advance of funds and/or direct payments; monitoring budget expenditures and maintaining a proper record of budgets and spending

Contract Management

  • Management of supplier contracts, such as office space, fleet management services and drivers, utilities and houses.
  • Ensure all suppliers have undergone due diligence checks, via the London Legal and Compliance team
  • Ensure proper tracking of supplies related to safety, transport, fuel and emergency response needs.
  • Serve as key liaison with guard providers, technical service contractors, and landlords to ensure readiness and issue resolution.
  • Act as the main contact for key suppliers and service providers for monitoring of vendors’ performance and compliance.

It is also expected that they will cover any other duties as required where capacity and availability permits. These duties will be communicated in advance and agreed with the Country Head where possible.

Person Specification

The individual should work to the highest standard with a keen attention to detail delivering workable solutions to various teams with competing priorities;

  • Ability to proactively complete physical tasks in a timely, accurate and organised manner
  • Ability to safely complete manual handling tasks (lifting, moving and storing objects
  • Understand and demonstrate the ability to apply Health and Safety procedures relevant to the role
  • Relevant experience delivering administrative support in an efficient and proactive manner
  • Ability to deal with everyday problems: to identify which problems should be referred to a supervisor, which problems can be dealt with, and which situations are an emergency
  • Ability to work flexibly to meet deadlines and respond to unplanned situations
  • Self-motivated, committed to high standards and have excellent attention to detail
  • Professional outward facing demeanor
  • Ability to work flexible hours when required for specific needs
  • Good IT skills desirable
  • The person must have the right to live and work in Malawi.
