Banja La Mtsogolo (BLM) is a Malawian Non-Governmental Healthcare Organization established in 1987. BLM provides quality Family Planning and Reproductive Healthcare services, including HIV/AIDS information and interventions. BLM is a senior member of the MSI Reproductive Choices Partnership, which operates in 43 countries globally. The organization exists to improve the quality of life in Malawi through family planning and reproductive health services.
BLM serves over 800,000 clients annually, making a significant contribution to national family planning objectives. It has national coverage, operating through 23 clinics and numerous Public Sector Strengthening (PSS) and Outreach clinic sites.
Applications are invited from suitably qualified candidates to fill the position of:
Position: Facilities Assistant
Reporting to: Senior Procurement & Facilities Officer
Location: Support Office – Lilongwe
Role Purpose
The Facilities Assistant is responsible for the co-supervision of security guards, maintenance of BLM facilities thus clinics and support office, hygiene of all premises and the tenancy of all buildings rented by BLM.
Key Responsibilities
Facilities Management
- Ensure up-to-date tenancy agreements for all buildings, including residential properties, rented by BLM
- Ensure that all rentals, utilities and all bills are paid in a timely manner
- Coordinate the maintenance of clinic facilities, support office and other buildings rented or owned by BLM
- Maintain and update a clinic needs record for repair and maintenance work
- requested and completed, enabling BLM to monitor what work has been done in the past, what work is required, and how much progress has been made
- Scheduling corrective and preventive repairs and maintenance for Support Office, Clinics and experts residence
- Keep clinic Managers and Centre Coordinators updated on the progress of repair and maintenance work
- Support vendor selection and supervision for construction projects
- Coordinate health and safety interventions at Clinic facilities, Outreach and Support Office
Administrative Management
- Performance management for a team of Office Assistants, and Groundsman, setting objectives for them, regularly reviewing their performance and taking disciplinary action where necessary
- Ensure utilities such as electricity, water and office communication systems are properly functioning and arrange timely maintenance as required
- Work with external contractors to ensure the Offices and Clinics are kept free of rodents and other pests
- Quantification of office consumables and stationery
- Maintenance for records of title deeds for all BLM properties
- Quantify and manage Support Office consumables
Skills, Qualifications and Experience
- Minimum of relevant Diploma from a reputable institution, in Business Administration, Facilities Management, Property Real Estate management, Electrical or Plumbing OR any other related field
- At least two years’ work experience
- Competence in computer including excel, word and power point
- Excellent planning and attention to detail skills
- Excellent coordination skills
- Team player
- Self-starter
- Must be Pro-Choice
