BACKGROUND
The Early Childhood Development (ECD) Coalition of Malawi was established in 2010 and registered as a Trustee in 2016. It serves as a national platform for coordinating efforts to enhance early childhood development services for children aged 0–8. Guided by its 2024–2028 Strategic Plan, the Coalition focuses on four key pillars: strategic coordination and partnerships, evidence-based policy advocacy, professional capacity development, and sustainable ECD resourcing. Its vision is to ensure every child in Malawi reaches their full potential by 2028. ECD Coalition Malawi through the Comic Relief and UK Aid Shifting the Power Programme being implemented by Tilitonse Foundation in partnership with Comic Relief and UK Aid is looking for a highly motivated, and hardworking Finance and Administration Assistant as a full-time employee who will be based in Lilongwe – ECDC secretariat Office.
Job Title: Finance and Administration Assistant
Reporting to: The Finance and Administration Officer
Contract Type: One-year contract, renewable based on performance and the availability of funds
Key Responsibilities
- Prepare accurate payment vouchers
- Ensure timely processing of payments.
- Review all supporting documents for authenticity
- Issue project cheques and maintain an up-to-date cheque register.
- Manage petty cash, update cashbooks, and ensure proper reconciliation.
- Ensure systematic filing and safekeeping of finance and administrative records.
- Conduct bank transactions and maintain proper transaction records.
- Support procurement processes, including obtaining quotations and maintaining supplier records.
- Monitor office supplies and assist in inventory management.
- Provide logistical support for meetings, trainings, and other official events.
- Assist in enforcing internal controls and compliance across program offices.
- Perform any other duties as assigned to support smooth finance and administrative operations of the ECD Coalition.
Qualifications
- A Certificate in Financial Accounting (CIFA). Those with a diploma will have an added advantage
Skills
- Basic Computer skills especially Microsoft Word, Excel, and Outlook
- Organizational skills
- Excellent time management skills
- Good verbal and written communication skills
- High level of integrity and honesty
