Position: Human Capital/ Administration Officer

About the Role:

The Human Capital and Administration Officer will provide support to the HR department and administrative functions of the organization. This role involves assisting with recruitment processes, employee records, office management tasks, and ensuring smooth day-to-day operations.

Main Duties and Responsibilities

Human Capital Support 

  • Assist with recruitment efforts including posting job ads, scheduling interviews, and onboarding new employees.
  • Maintain and update employee records and HR databases.
  • Assist with benefits administration. (Pension, Medical insurance)
  • Coordinate employee training sessions and maintain training records.
  • Support the performance management process and annual reviews.
  • Help ensure compliance with labor laws and internal policies.
  • Address basic HR-related queries from employees and escalate as needed.
  • Assist with the recording of employee leave and time off

Administration Support 

  • Assist with management of employees attendance, including marking the attendance
  • Manage office supplies and equipment, ensuring availability and proper maintenance Handle general office correspondence, emails, and phone calls.
  • Support the planning of meetings, events, and travel arrangements
  • Maintain filing systems (physical and digital) for HR and administrative documentation
  • Assist in implementing and enforcing office policies and procedures
  • Liaise with external vendors, service providers, and building management as needed
  • Ensure that all compliance documents are up to date at all times

Front Office

  • Greet and assist visitors, clients, and customers in a professional and friendly manner.
  • Answer incoming calls, transfer calls, and take messages as needed.
  • Maintain a well-organized and tidy reception area.
  • Schedule and manage appointments for executives and staff.
  • Handle incoming and outgoing mail, packages, and courier services.
  • Coordinate with various departments to facilitate smooth communication and workflow.
  • Act as a liaison between external parties and different teams within the organization.
  • Any other duties assigned by management from time to time

Requirements and Skills

  • Bachelor’s degree in Business Administration or a related field is preferred.
  • 4 years of proven experience in a similar role with a focus on front office and administrative responsibilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to handle sensitive information with confidentiality.
