Background

Banja La Mtsogolo (BLM) is a Malawian Non-Governmental Healthcare Organization established in 1987.  BLM provides quality Family Planning and Reproductive Healthcare including HIV/AIDS information and interventions. BLM is a senior member of the MSI Reproductive Choices Partnership which works in 43 countries. BLM exists to improve quality of life in Malawi through family planning and reproductive health care services. BLM serves over 800,000 clients annually and makes a significant contribution to national family planning objectives. The organization has national coverage, operating through 25 clinics, and numerous outreach clinic sites.

PROJECT COORDINATOR

LOCATION         : Support Office – Lilongwe

REPORTING LINE : Projects Grant Manager

Role Purpose

The Project Coordinator will be responsible for supporting in the management of a portfolio of donor funded projects within BLM’s programme’s team and ensuring achievement of BLM programme goals through highquality and diligent multiple-project expertise and technical capacity to reach MSI’s 2030 strategic goals. This will involve tracking workplans, KPI tracking, supporting the Projects Grant Manager with compliance and risk management. The post holder will also be involved in some donor relationship management and other key elements of ongoing project management such as working closely with Finance Manager’s to track and manage project spending and financial reporting.

Key Responsibilities

Multiple project management and donor compliance.

  • Demonstrable expertise in working across multiple projects/ grants to support Project Managers to meet the deliverables.This includes tracking key performance indicators (KPIs), project spend and workplan activities.  
  • Support on the donor reporting process and coordinate inputs from relevant departments to ensure high calibre donor reports that critically analyse performance and make informed recommendations for future activities.
  • Work with finance personnel to track spend against donor grants.This includes regular meetings to analyse variances and develop forecasts for all donor projects with appropriate staff involved.  
  • Active engagement in project meetings with relevant internal stakeholders to recap performance, set strategy for the next month and flag any underperformance.
  • Support with project start up and close out processes by working closely with project managers.
  • Understand key compliance for all the donors within your portfolio, as well as BLMs policies and procedures, to ensure project implementation is compliant with these regulations, policies, and procedures.
  • Ensure BLM maintains an updated database of project documents and information.

 Qualification

  • Minimum of a bachelor’s degree in management, Public Health, International Development or related field (master’s degree in related field preferable)
  • Public health or health related post graduate degree would be an added advantage.

 Experience and Skills

  • At least 3 years’ experience in a project management position with expertise in project cycle management.
  • Experience of working with key populations including sex workers, on HIV/AIDS prevention.
  • Demonstrable expertise in the management of multiple projects/grants.
  • Clear ability to identify and set targets.
  • Experience in engaging donors and external partners.
  • Proficient financial management expertise including financial reporting, variance analyses and donor compliance both programmatic and financial (advanced skills in excel required)
  • Experience and knowledge of the Malawian SRHR landscape, excellent understanding and experience in donor engagement and grant compliance.
  • Excellent leadership and people management skills.
  • Effective analytical and problem-solving skills.
  • Ability to work independently, is a motivated self-starter with good initiative.
  • Excellent computer skills, including Word, Excel, PowerPoint, and Outlook.
  • Monitoring and Evaluation experience.
  • Fluent in English and Chichewa – both written and oral.
