The Malawi Investment and Trade Centre (MITC) is a Statutory Corporation established by the Investment and Export Promotion Act of 2024. It is mandated to promote and facilitate investment and exports in Malawi, facilitate allocation of land to investors and regulate, implement, monitor and supervise all aspects of the special economic zones

An excellent and rare opportunity has arisen to engage qualified, highly motivated and well experienced person(s) to fill the following vacant positions at MITC.

Responsible Title and Grade : Personal Assistant (MITC 5)

Responsible to: Chief Executive Officer (MITC 1)

General Description

The Personal Assistant will provide daily support to the Chief Executive Officer (CEO) and carry out administrative work on his behalf. The role will be diverse and involve regular interactions with global contacts as well as the MITC Board of Directors, Executive Leadership Team, and MOG Members.

You will be exposed to high-level discussions and have an insight into decision-making and strategy development.

The Personal Assistant will directly report to the Chief Executive Officer and the Board of Directors.

The purpose of this role is to support the. CEO on administration, and on managing the governance and strategy processes.

Principle Duties and Responsibilities

1. Assisting the CEO with daily administrative duties and completing a broad variety of administrative tasks that include;

  1. Managing an active calendar of appointments
  2. Completing expense reports, composing and preparing correspondence.
  3. Arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for meetings.
  4. Communicates with the general staff on the CEO’s behalf and coordinates logistics for high-level meetings both internally and externally.
  5. Coordinates meetings and strategic activities with the Executive Leadership Team and Board Members.
  6. Supports CEO in all external commitments related to MITC, including service on external boards, committees, and other groups.

2. Board Support and Liaison

  1. Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities, which include;
  2. coordinating semi-annual Board meetings and dinners; semi-annual Board staff lunches/ receptions/new Board member orientations; arranging hotel accommodations for out-of-town Board members; processing travel reimbursement requests; and compiling, assembling, and distributing Board meeting materials.
  3. Coordinates Executive, Finance, Governance & Nominating, and Audit Committee meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off-site to support the CEO’s agenda and Maintains Board portal (Directors Desk).

Academic & Professional Qualifications

The Personal Assistant should hold Bachelor’s Degree in Business Administration and/or Public Administration, a Malawi School Certificate of Education (MSCE) with credit in English, plus a Diploma in Secretarial Management obtained from a recognised institution with at least 3 to 5 years practical and progressive experiences in a similar position.

  5. Proven ability to collaborate effectively across different teams and cultures, strong relationship-building skills, and service-oriented attitude.
  6. Proven ability to multi-task and keep track of several projects running in parallel with ethical work standards.

Major Working Relationship

The Personal Assistant will work closely with all members of MITC staff and with members of the Board of Directors as directed. She/he will also have frequent contact with Government of Malawi and Private Sector executives.
