The Organization

Assemblies of God Care is a relief organization for the Malawi Assemblies of God Church. Its objective is to serve social needs of stakeholders and complement government effort in mitigating plethora of day in and day out challenges facing indigent masses of citizenry, hence giving them much needed dignity. AG Care was registered on 23 October 2002 under the Trustees Incorporation Act in response to the food crisis that rocked the people of Malawi. Since then, the organization has been implementing humanitarian and development programmes independently and through different consortia.

The main program participants of AG Care interventions are the poor local communities, that are particularly vulnerable, and subject to inequality and excluded; this includes community members without assets that often suffer from climate change shocks with inadequate land, labour, and capital to enhance their livelihoods.

A vacancy has currently risen and applications are invited from suitably qualified candidates for the position of Human Resource and Administration Officer tenable at its head office in Lilongwe.

Main purpose of the job.

The incumbent will be responsible for implementing people management activities in the organization and linking Management and employees on people management issues including administrative duties. The post will work with staff to ensure that the human resource and administration procedures and good policies are followed and in compliance with applicable labour laws.

Reporting Lines:

The Human and Administration (HRAO) Officer will work under the overall supervision of the Finance and Administration Manager.

Job Focus:

The Human and Administration (HRAO) Officer will work under the overall supervision of the Finance and Administration Manager, will manage the day –to –day Human Resources and administrative activities. S/he will ensure the development and monitoring of processes related to recruitment and retention, compliance, compensation, benefits, training and development, as well as implementation of administrative functions.

Key Tasks and Responsibilities Includes but are Not Limited to:

HR Compliance, Support and People Management

  • Support the Finance and Administration Manager and Line Managers to implement HR activities as per the Organisation work plan and ensure day-to-day HR services are met and that there are effective HR processes in the Organisation.
  • Support the Finance and Administration Manager to ensure that HR policies and guidelines are kept up to date, employee awareness is raised on these documents and that guidelines are timely updated and aligned to the relevant legislation and AG care best practices.
  • Maintain and update employment contracts and files (manually and electronically) to ensure that they are compliant with AG Care standards and country law.
  • Support the Finance and Administration Manager to manage disciplinary processes in a timely manner so as to limit risk to the business.
  • Provide support and coach line managers to ensure compliance with employment practices at AG Care.
  • Drive and support HR work plans for the organisation.

Talent Acquisition – Recruitment, Remuneration and Benefits

  • Implement and manage the recruitment process in a timely and strategic manner.
  • Implement and manage the induction process, on boarding and off boarding of employees.
  • Support and guide management to create job descriptions and have all jobs evaluated as per the AG care job evaluation process.
  • In close partnership with the Finance and Administration Manager, coach line managers on effectively implementing the AG Care Remuneration Policy.
  • Implement and manage the benefits aligned with the contractual terms and conditions once approved and signed off by Executive Director.

Developing Talent and Managing Performance

  • In close partnership with the Finance and Administration Manager align, implement and develop the AG Care Learning and Development strategy.
  • In close partnership with the Finance and Administration Manager monitor and implement the performance management process in line with the given time lines.

HR Systems, Workflows and Processing

  • Provide support to the Finance and Administration Manager to implement smart and effective HR processes in the Organisation.
  • Utilise all HR systems to ensure data integrity is maintained on all employee files and administrative documents.
  • Implement accurate and compliant monthly employee information, changes/updates for payroll on the relevant system in a timely and accurate manner.

Administration

  • Ensure that the office premises are adequately maintained and that the office utilities are functioning properly and invoices are paid to services providers Timely.
  • Ensure that all personnel have a well-equipped workstation and attend to any requests regarding stationery and furniture.
  • Manage and control all maintenance work done for the office according to approved requests and submit payment requests to the finance department.
  • Ensure that adequate systems for stock control are in place including physical stock taken for office or household furniture and equipment
  • Update and maintain assets register; this involves receiving all assets and equipment purchased, tagging the equipment, updating the records in the register and forwarding tagged and ensuring all assets in the hands of employees are registered.

Qualifications: Education/Knowledge/Technical Skills and Experience.

  • Bachelor’s degree in Administration/Human Resources
  • 4 years of relevant professional experience
  • Experience working in an NGO set up will be an added advantage.
  • Good knowledge and working experience of labor laws.
  • Ability to multi-task, prioritise and pay attention to detail.
  • Excellent analytical skills, communication skills with good interpersonal skills.
  • Ability to get things done while exercising good judgement.
  • Basic financial skills.
  • Experience in implementing and maintaining office systems and procedures.
  • Exceptional customer service skills, including interpersonal skills and communication skills
