REQUEST FOR QUOTATIONS (RFQ) FOR PRE-QUALIFICATION OF SUPPLIERS
The Gender and Justice Unit (GJU) is a Malawian non-governmental organization committed to advancing social justice and gender equality through strategic programs and community engagement. GJU invites reputable suppliers to express their interest in pre-qualification to provide goods and services to support our operations and programs in the 2026 financial year.
The objective of this RFQ is to identify and pre-qualify reliable suppliers capable of delivering quality goods and services to GJU. Pre-qualified suppliers may be invited to participate in future quotations, tenders, or contracts.
Suppliers are invited to pre-qualify in any one or more of the following categories:
Event & Program Support
- Printing Services – brochures, reports, manuals, posters, forms, notepads, business cards
- Banners and Signage – indoor and outdoor banners, roll-ups, display boards, flags
- Audio-Visual Equipment Rentals – LED Screens, microphones, speakers, projectors, PA systems
- Videography and Photography Services – event coverage, campaigns, media production
- Event Catering Services – food, drinks, and catering equipment
- Air ticketing
- Stage & Lighting – stage setups, lighting rigs, decorations
- Tents, Chairs, and Event Equipment – marquees, chairs, tables, staging rentals
- T-Shirts, Branded Apparel, and Promotional Materials – screen printing, embroidery, pens, bags, stickers, notebooks, and diaries.
Office & IT Equipment
- Computers, Laptops, Tablets, Phones, and Accessories – including chargers and peripherals
- Office Furniture – desks, chairs, cabinets, filing systems
- Office Supplies – stationery, toner, paper, filing accessories
- Office Security Services & Rapid Response – security personnel and equipment
- Printers & Accessories – printers, scanners, cartridges
- Software Licenses – accounting software, MS Office, design software
- Networking & IT Services – Wi-Fi routers, installation, maintenance, IT support
- Computer Repairs & Maintenance (Printers, CCTV Cameras) Supply, Installation & maintenance of Solar Equipment
Transport & Logistics
- Car Hire and Transportation Services – 4×4, saloon, minibus options
- Vehicle Maintenance & Servicing – mechanics, tire services
- Courier & Delivery Services – documents and packages
Communication & Media
- Graphic Design Services – branding, reports, infographics
- Social media & Digital Marketing Services, including online streaming services
- Website Design & Maintenance
- Mobile application development and support
- Radio, TV, and Print Media Advertising – including creation and production of jingles
Health & Safety
- Sanitation Supplies – hand sanitizers, masks, cleaning materials
- First Aid & Medical Supplies – basic kits for fieldwork
- Safety Boots
- Installation of security upgrades, such as electric fencing.
Other Services
- Training & Capacity Building Services – consultants for workshops and programs
- Consultancy Services – research, monitoring & evaluation, gender assessments, Policy reviews
- Pre – Audit Exercise & External Audit Services
- Provision of Valuation Services for assets
- Translation & Interpretation Services – for workshops and publications
- Voice Over Recording Services for Interactive Voice Recorder – IVR (which includes a recording booth, etc. – Chewa, Tumbuka, Yao, Lomwe, Sena, and Tonga)
Pre-Qualification Requirements
Interested suppliers must submit the following:
- Company profile including contact details and location
- Registration documents (e.g., business registration certificate, Tax Clearance Certificates)
- Relevant experience and references for similar goods/services
- List of products/services offered with specifications and price ranges (if applicable)
- Any applicable certifications or licenses
- Bank details for payment purposes

Evaluation Criteria
Pre-qualification will be based on the following criteria:
- Compliance with submission requirements
- Experience and track record in supplying similar goods/services
- Capacity to deliver on time and quality assurance
- Financial stability and credibility
Additional Information
GJU reserves the right to accept or reject any application without providing reasons. Pre-qualification does not guarantee any contract, but will enable suppliers to participate in future procurement opportunities.
