INVITATION TO TENDER / REQUEST FOR QUOTATIONS (RFQ)
INVITATION FOR SUPPLY AND INSTALLATION OF ALUMINIUM DOORS, WINDOWS AND ASSOCIATED WORKS
Kaning’a CCAP Church invites sealed quotations from suitably qualified and reputable suppliers for the supply, delivery, and installation of aluminium doors, windows and associated works for the Multipurpose Hall at Area 47, Sector 2, Lilongwe.
1.0 Scope of Works
1.1 The works comprise, but are not limited to: –

i.) Supply and installation of aluminium doors, windows, and screens (both anodised and powder-coated aluminium profiles to be separately priced) complete with:

  1. 6mm laminated shatterproof (SX) glass, including clear and obscure glass as specified, with bidders required to indicate available shades/colours.
  2. Handles, locks, hinges, and all accessories.
  3. Bidders must clearly specify the proposed aluminium finish and colour theme. Standard finishes may include natural or bronze anodised finishes, or approved powder-coated colours, to be separately priced where applicable.

ii.) Supply and installation of steel door frames.

iii.) Supply and installation of timber doors.
iv.) Provision of ironmongery.
v.)Painting and decorating works.
vi.) Optional pricing for security bars (trelliswork) (to be priced separately).
1.2 The detailed scope is contained in the Schedule of Materials (BOQ) and Door & Window Schedule, to be collected by bidders.
2.0 Mandatory Site Visit.
2.1 Bidders are strongly advised to visit the site and take their own measurements before submitting quotations. No claims arising from failure to verify site conditions will be entertained.
3.0 Submission Requirements.
3.1 Bidders must submit the following: –
a) Technical Requirements.
  1. Proposed Works Programme.
  2. Method statement (optional but recommended). 
3.2 Mandatory Documentation.

a) Valid Business Registration Certificate.

b)Valid CIRA Registration Certificate (where applicable).

3.3 Financial Submission
a) Bidders must clearly indicate: –
  1. Total contract sum.
  2. Cost of transport (if charged separately).
  3. Performance period.
  4. Bid validity period.
  5. CIRA Levy (if applicable)
  6. Value Added Tax (VAT).
  7. Payment terms.
  8. Confirmation that aluminium profiles comply with BS 6496 (Powder Coating Standard) and equivalent anodising standards where applicable.
  9. Details of warranties for aluminium profiles, glass, ironmongery, and installation workmanship.
4.0 Collection of Documents.
4.1 Interested bidders may obtain the Schedule of Materials (BOQ) from Church Administrator, khumbomlongoti@gmail.com
Note: Door and Window Schedule (Bidder is required to take their own measurement on site).
5.0 Submission Details.
5.1 Quotations must be submitted in sealed envelopes clearly marked:-
“Quotation for Aluminium Doors and Windows – Kaning’a CCAP Multipurpose Hall”. Bidders will also be required to submit a soft copy in a flash drive together with the hard copy.
5.2 Submission deadline: 9th June 2026 before 15:00Hrs.

6.0 Evaluation Criteria.

6.1 Bids will be evaluated based on: –

  1. Compliance with technical specifications.
  2. Price competitiveness.
  3. Experience and capacity.
  4. Delivery period. 
7.0 Employer’s Rights.
7.1 Kaning’a CCAP Church reserves the right to: –
  1. Accept or reject any bid.
  2. Cancel the procurement process without obligation.
