Terms of Reference (ToR’s) Last-Mile Distributor (LMD) Partner ATEC eCook Distribution and Service Support in Malawi

1. Background and Context

ATEC in a partnership with Self Help Africa (SHA) is dedicated to improving access to clean cooking solutions in Malawi, particularly electrified households in urban areas in Lilongwe and Blantyre. The eCook product aims to provide a cleaner, more sustainable cooking alternative for households, reducing health risks, environmental impact, and dependency on traditional cooking methods, especially charcoal which is illegal in Malawi. As part of this initiative, ATEC through SHA seeks to partner with capable Last-Mile Distributor (LMD) partners to represent our eCook product in Malawi and to support customer acquisition and registration, distribution, training, and ongoing support to encourage consistent product usage and long-term adoption.

2. Scope of Work and Last Mile Distributor Responsibilities:

The selected Last-Mile Distributor (LMD) partner(s) will be responsible for the following tasks:

  • 4.1 Customer Identification and Sign-Up
  • 4.2 Product Delivery and Installation
  • 4.3 Kick-Start Training
  • 4.4 After-Sales Support

3. Deliverables:

The LMD partner will be responsible for delivering:

  • Customer Acquisition Reports: Monthly updates on outreach activities, sign-ups, and demographics against agreed targets.
  • Delivery and Training Completion Reports: Confirmation of product delivery and training
    outcomes.
  • After-Sales Support Logs: Documentation of support requests, resolutions, and customer feedback.
  • Monthly Performance Reports: Summaries of progress, challenges, and recommendations.

4. Partner Requirements:

The ideal LMD partner should have:

  • Proven experience in last-mile distribution, especially in urban areas.
  • Strong logistical capabilities across the approved geography.
  • Expertise in customer training and after-sales support.
  • Knowledge of local languages and cultural contexts.
  • Commitment to sustainability and clean energy solutions.

5. Evaluation Citeria:

  • Experience in similar assignments
  • RBF Approach: Short summary on planned customer acquisition, distribution, and after-sales support in the target geographies in Malawi as detailed in the TOR’s
  • The Qualification of the proposed Key Personnel
  • Cost

6. Duration of Contract:

The initial contract period is 12 months, with the possibility of renewal based on performance.
