DON BOSCO YOUTH TECHNICAL INSTITUTE
Don Bosco Youth Technical Institute is a TEVET Registered Catholic Institution providing quality Technical Vocational Education and Training to marginalized youth in a supportive Christian environment in Malawi, situated in Area 23 of Lilongwe. As part of its development and growth strategy, the institute has three Vacant Positions at Senior Management level tenable at the institute, and requiring immediate filling. Therefore, Don Bosco Technical Youth Institute invites applications from suitably qualified candidates for the three positions as follows:
1. HEAD OF ADMINISTRATION
Reporting to: Principal
Contract: Fixed Contract for period of Three (3) Years.
Type: Full time
Position Summary
The Head of Administration will be responsible for overseeing and coordinating all administrative, human resource and support services of the college, ensuring effective and efficient running of all operations and management systems of the college, and the college’s compliance with both national and institutional policies and regulatory requirements.
Key Responsibilities and Duties:
- Leadership and supervision;
- Coordinating all human resource functions including recruitment, staff records management system, training, staff appraisal and performance evaluation, staff guidance and welfare, and management of staff matters.
- Supervising administrative, clerical and support staff.
- Operations management;
- Oversee day-to-day administrative operations of the college.
- Coordinating workflows and maintenance of college facilities.
- Financial management;
- Planning, preparation of budgets, monitoring expenses and implementation of the Administration and Human Resource Budgets of the College
- Coordinating procurement and asset management of the college.
- Preparation of Financial reports for the Administration Department including Human Resource.
- Policy, regulations and strategy;
- Coordinating the development and reviews of all policies, regulations and rules for the Institute.
- Providing support to the strategic planning and management of the Institute
- Development, implementation and reviews of administrative policies, regulations and strategies of the college.
- Ensuring compliance with TEVET regulations and standards, labor laws, procurement act, and other relevant national policies and regulations, including compliance with institutional policies and rules.
- Resource Management;
- Managing supplies, equipment, contracts, logistics and vendor relationships, ensuring cost-effectiveness and efficiency.
- Secretarial, Communication and Reporting;
- Facilitating smooth information flow, providing support management and reporting on performance.
- Manage institutional records, correspondence, and filing systems
- Act as Secretary to Management and other delegated meetings where required
- Liaising with government agencies, partners, and stakeholders
Qualifications and Experience
- Bachelor’s degree in Public Administration, Business Administration, Human Resource Management, Social Science, Education Management, or related field. A Master degree in these areas will be an added advantage.
- Minimum of 5 years’ relevant experience in Administration, preferably in an educational or training institution, with atleast 2 years at Management or Supervisory Level.
- Strong knowledge of office management and Human Resource practices
- Good computer skills (MS Word, Excel, email, and databases)

2. HEAD OF PRODUCTION
Reporting to: Principal
Contract: Fixed Contract for period of Three (3) Years.
Type: Full time
Position Summary
The Head of Production will be responsible for overseeing the planning, coordination, supervision and implementation of all production activities at the Institute covering: Garage & Transport, Carpentry & Joinery, Tailoring & Fashion Design, Plumbing, Fabrication & Welding, and Embroidery products (goods & services). The role involves ensuring effective operations, efficient utilization of resources, ensuring compliance with set quality and safety standards, timely delivery of products/services, and supervising production staff.
Key Responsibilities and duties:
- Planning and development of Budgets and Targets for all Production Units
- Organizing, coordinating and monitoring the implementation of Plans & Budgets for all the Production Units, and ensuring that the periodic (Daily, Weekly & Monthly and Annual) targets, and production deadlines, are met.
- Monitoring production costs and ensuring efficient utilization of materials, machines, equipment and labour in order to ensure cost-effectiveness and competitiveness of the Institute’s products/services.
- Assigning responsibilities to team members, supervising, training, and conducting staff appraisals/evaluation from all the Production Units.
- Setting and ensuring that quality standards are maintained throughout the production processes.
- Driving productivity improvement initiatives for continuous improvement across all the operations.
- Monitoring equipment and scheduling routine maintenance and service of machines and equipment.
- Ensuring compliance with health, safety, and environmental regulations
- Preparing production reports
- Coordinating with procurement, administration and sales departments
- Identifying and resolving production bottlenecks, challenges and risks.
Qualifications and Experience
- Bachelor’s degree in Production Management, Industrial or Mechanical Engineering, Technical Education, Business Management or related field.
- A Master degree in these areas will be an added advantage.
- Minimum of 5 years’ experiencein a production or manufacturing environment, with at least 2 years at Management or Supervisory role.
- Good knowledge of production management, quality assurance, and Occupational Safety and Health.
- Computer literacy (MS Office and production management systems)

3. ACCOUNTANT
Reporting to: Principal
Contract: Fixed Contract for period of Three (3) Years.
Type: Full time
Position Summary
The Accountant will be responsible for maintaining accurate financial records, analyzing financial data of the Institute’s operations and performance, preparing financial statements and reports, providing advice on the Institute’s financial direction, and ensuring compliance with accounting standards, donor requirements, and statutory regulations.
Key Duties and Responsibilities
- Coordinating the budgeting and financial planning of the Institute
- Preparing and maintaining accurate books of accounts
- Preparing balance sheets, financial statements, and cash flow statements
- Processing payments, receipts, and bank reconciliations
- Managing accounts payable and receivable
- Preparing monthly, quarterly, and annual financial reports
- Managing payroll processing and statutory deductions
- Analyzing financial data and providing insights and guidance for financial management decisions.
- Ensure compliance with tax laws and financial regulations
- Maintain asset registers and financial records
- Support internal and external audits
Qualifications and Experience
- Bachelor’s degree in Accounting, Finance, or related field
- Professional qualification (ACCA, CIMA, CA, or equivalent) is an added advantage
- Minimum of 3–5 years’ relevant accounting experience
- Experience working in an education and training institution, Non-Governmental Organization or donor-funded organization is an added advantage
- Proficiency in accounting software and MS Excel
