Project Overview:
The Ireland-funded Growth Poles Project (GPP) is a five-year initiative implemented by Palladium International. The project’s goal is to accelerate environmentally, socially, and economically sustainable wealth generation in Malawi by mobilizing private sector investments and fostering partnerships with anchor firms and their surrounding communities. A key strategic focus is the adoption of climate-smart technologies to enhance the resilience and productivity of smallholder farmers.
Objectives of the Consultancy:
The purpose of this consultancy is to ensure uninterrupted operational and administrative support during maternity leave. The consultant will play a central role in supporting the smooth execution of operational functions of the Growth Poles Project.
Success in this consultancy role will be measured by:
- Timely, compliant, and efficient internal operational processes and support.
- Keeping and maintaining up-to-date inventory, transport, and petty cash records.
- Compiling clear documentation and tracking of all operations/logistical, and procurement support activities.
- Supporting events and travel logistics delivered with minimum disruption.
- Producing a monthly report detailing their work for the month and a corresponding timesheet log.
Primary Duties and Responsibilities:
- Maintain and replenish office supplies, stationery, and basic inventory records.
- Support event and travel logistics including venue bookings, accommodation arrangements, and transport coordination.
- Support communication and coordination for events, including liaising with partners on event logistics and managing invitations and attendance tracking.
- Provide day-of support for event management as needed, including set up, event staffing, etc.
- Coordinate routine office maintenance needs.
- Provide support in supervision and overseeing tasks for office support staff, including cleaners and guards where these are available.
- Prepare and organize materials, kits, and logistics for tours, workshops, trainings, and internal meetings.
- Maintain and update the project’s weekly transport schedule, verify vehicle logbooks, and report anomalies to the senior manager.
- Collaborate with the team for any other required administrative tasks.
- Assist with payment supporting documentation and processing including micro-purchases, quotations, and delivery tracking.
- Receive and record procured items, ensuring proper documentation and storage.
- Assist with vendor payments by preparing payment packages for review and submission.
Qualifications and Experience
- A bachelor’s degree in a relevant field.
- One to three years of related experience in administrative/operational support roles.
- Problem-solving skills with experience identifying and suggesting solutions to challenges as they arise.
- Excellent interpersonal skills needed to work effectively with technical project staff, including the ability to collaborate and communicate clearly.
- Fluency in English and Chichewa
- Proficiency in Microsoft Excel and Word.
- Demonstrated eye for detail
- Ability to work efficiently under pressure and manage multiple deadlines with limited guidance, while maintaining high standards in quality of work.
- Ability to work in Malawi
