TITLE: Project Finance Officer

Team/Programme: Finance Location: Blantyre, Malawi

Scope of Role:

Reports to: Finance Manager

Functional reporting to: Finance Department

Dimensions: Blantyre

Key Accountabilities include:

Financial Management and Reporting:

  • Preparation of financial reports in accordance with the donor and statutory requirements
  • Supporting and mentoring the non-finance staff and other stakeholders in financial Management of institutional and project cash flow ensuring that there are enough financial resources for effective and efficient operation.
  • Regular review of the internal control system to ensure that organizational or project resources and assets are safeguarded.
Budgeting and Forecasting:
  • Assist the Finance and Administration Manager in the preparation of project’s monthly, quarterly, annual budgets and forecasts
  • Assist the project team in monitoring and reporting on budget performance (Budget versus Actual)
  • Assist the project in budget realignment and modification where need be

Financial Analysis

  • Support the finance manager and the project manager in analyzing financial data to inform strategic decisions for the project
  • Support the Management in identifying areas for cost savings and process improvements
  • Support the efficient and effective cost allocation for the project to ensure that only a fair and equitable share of support costs

Accounting and Bookkeeping:

  • Maintenance of accurate and up-to-date financial records ensuring they are timely and properly filed
  • Processing payments within stipulated lead times ensuring all supporting documents are attached and they follow financial regulations and standards.
  • Timely reconciliation of records including banks, payable and receivables to timely track possible risks of fraud and errors

Audit and Compliance

  • Providing support during internal and external audits i.e. timely provision of requested information to avoid audit delays and questioned costs
  • Keep track of all audit recommendations and ensure they are implemented timely

Risk Management

  • Assist in identification of financial risks for the project and development of the mitigation strategies

QUALIFICATIONS

  • Bachelor’s degree in finance, Accounting, or related field
  • At least 2 years of experience in finance and accounting
  • Strong knowledge of financial principles, practices, and regulations
  • Excellent analytical, communication, and organizational skills
  • Proficiency in financial software and systems (e.g., QuickBooks) and advance Excel
  • Ability to work in a fast-paced environment and prioritize tasks effectively
