On behalf of our valued client in the NGO Sector, we are seeking a highly motivated and skilled Office Assistant to join their team and contribute to their success.
RESPONSIBILITIES
Under the supervision of the Administrative Officer, the Office Assistant requires a versatile and organized individual to perform the dual role of Office Assistant and cooking. This position requires a proactive team player who can manage office support tasks while also preparing meals for staff and occasional guests. The Office Assistant will ensure our workplace remains clean, sanitary, and welcoming for employees, and visitors including responsibility for performing a variety of cleaning tasks, maintaining supplies, and upholding high standards of cleanliness throughout the office. The position will take pride in their work, demonstrate a strong work ethic, and thrive in a role that requires independence and consistency. The incumbent is expected to excel in multitasking, possess strong organizational skills, and have a passion for cooking nutritious and delicious meals.
Office Assistance/Cleaning Duties (65%):
Office Assistance
- Requesting and maintaining office supplies
- Welcoming office visitors courteously and redirecting them appropriately
- Support distribution of documents internally
- Support accurate maintenance of office and kitchen inventory
- Support conduct of office events and meetings
- Support administrative and logistical tasks such printing, photocopying and scanning of documents.
Cleaning Duties
- Dust, wipe, and polish office furniture, desks, chairs, shelves, and other surfaces, sweep and mop hard floors
- Clean and disinfect restrooms, including toilets, sinks, mirrors, and fixtures.
- Wash windows, glass doors, and partitions as needed to remove smudges and dirt.
- Empty waste bins and replace liners; ensure proper disposal of waste and recyclables.
- Clean and sanitize kitchen counters, sinks, microwaves, refrigerators, and other kitchen items.
- Wash and store dishes, utensils, and kitchen equipment as needed.
- Restock kitchen supplies under the guidance of the Administrative Officer.
- Monitor and replenish cleaning supplies, restroom essentials (e.g., soap, toilet paper, hand towels), and report low inventory to the supervisor.
- Address spills or messes promptly to maintain a tidy environment.
- Follow safety protocols when using cleaning chemicals and equipment; wear appropriate personal protective equipment (PPE) as required.
- Report maintenance issues (e.g., leaks, broken fixtures) or safety hazards to the supervisor.
- Assist with cleanup after office meetings, events, or gatherings, ensuring spaces are returned to their original state.
Cooking Duties (35%):
- Plan daily or weekly menus based on staff preferences, dietary restrictions, and budget guidelines.
- Prepare and cook lunch, or snacks for staff, ensuring meals are balanced, flavorful, and visually appealing.
- Maintain a clean, organized, and sanitary kitchen workspace in compliance with food safety standards.
- Track kitchen supplies and ingredients, placing orders as needed to avoid shortages.
- Serve meals efficiently and clean kitchen equipment, utensils, and dining areas after use.
- Accommodate special dietary needs (e.g., vegetarian, gluten-free).
- Work within a set budget for food and supplies, minimizing waste while maintaining quality.
Qualifications
- Education: Malawi School Certificate Examination (MSCE) with at least a credit in English and Mathematics.
- Experience: At least 2 years of experience in an Office Assistant or similar position
Knowledge, Skills and Competences:
- Basic ability to use a computer (email & documents)
- Familiarity with use of office equipment such as printer, photocopier & scanner
- Ability to communicate (written and spoken form) in both English and Chichewa
- Ability to manage multiple tasks and work independently
- Ability to take initiative and manage time effectively
- Teamwork experience is an advantage
