MANASO is the leading membership organization playing a unique role as an enabling agent to facilitate Civil Society Organizations (CSOs) which includes International Non-Governmental Organisations (INGO), Local Non-Governmental Organisations (LNGO) and Community-Based Organizations (CBOs) to collectively and accountably work together to advance the fight against HIV and AIDS in Malawi. MANASO works to improve the health status of Malawians, with a special focus to developing and supporting community systems that aim to reduce of new HIV infections, increase access to ART and support treatment adherence for people on HIV treatment. Human Resource Officer – Re Advertised

Under the direct guidance of the Head of Finance and Administration; the Human Resources Officer’s responsibilities include implementing human resources policies and procedures and monitoring adherence to these and labor-related laws.

KEY RESPONSIBILITIES AND SPECIFIC TASKS

  1. Promote productive employer/employee relations at the workplace.
  2. Coordinating staff team building and motivational clinic sessions including inviting motivational speakers,
  3. Maintain an up-to-date HR database of all contract personnel and all associated HR documents ensuring all documents are filed (Job descriptions, interview results and selection, CVs, Education certificates, offer letters, contracts, promotion, terminations etc.
  4. Monitor implementation of performance assessments appraisal.
  5. Preparation of Monthly payroll and submit it for approvals.
  6. Facilitate recruitment of new staff according to standing Organization procedures.
  7. Review employment and working conditions to ensure legal compliance
  8. Support the management of disciplinary and grievance issues
  9. Provide counseling, reviewing and implementing on HR policies and procedures
  10. Managing pensions and benefits administration
  11. Managing medical scheme for all staff
  12. Managing the PAYE and making sure the payment is made on time
  13. Welcoming new employees to the organization and coordinating orientation programs.
  14. Ensures all new staff undergo orientation, complete and sign all mandatory paperwork after the orientation program
  15. Preparation of HR travel advances for transport reimbursement, payment of temporary staff & any other.
  16. Provide interview feedback to candidates
  17. Drafting new employment contracts, confirmation letters, contract renewals and making sure they are all signed and filed.
  18. Leave management
  19. Any other duties assigned by the Director of Finance and Administration

Requirements

  • Bachelor’s degree in Human Resources/Business Administration/Business Management or other related field.
  • At least 4 years of experience in a human resources team management role in an NGO setup.
  • Registered and paid-up member with relevant HR professional body i.e. Institute for People Management Malawi, HR Society of Malawi.
  • A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making
  • Excellent communication and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
  • Personal qualities of integrity, credibility, and dedication to the mission of the organisation.
