 Médecins Sans Frontières (MSF) is a non-profit, independent international humanitarian organization committed to delivering medical aid to populations facing crises, with a steadfast commitment to impartiality and without regard to race, religion, creed, or political affiliation. In Malawi, MSF works closely with the Ministry of Health and local communities, focusing on the Cervical Cancer project in Blantyre and Chiradzulu districts, as well as the CBO Project in Zalewa and Dedza districts. The CBO project run by MSF France supports two Community Based Organizations — one in Zalewa, Neno District, and another in Dedza District—to enhance sex workers’ access to Sexual and Reproductive Health and Rights (SRHR) services.

MSFF is looking for its Coordination Office:

HR Assistant – 1 Position 

Workplace           : Blantyre, Coordination Office

Type of contract : 1-year Fixed Term Contract 

Start date             : December

Main purpose of the position

Execute administrative, HR and legal related tasks to support the HR functions following MSF standards and procedures, to ensure legal compliance and to realize the HR capacity required to achieve project objectives.

Accountabilities

  • Under supervision of the HR Coordinator managing personal files to ensure accuracy, compliance and on time payments.
  • Updating the HR database and personal files to facilitate HR processes management.
  • Updating Social security & Tax office files to meet legal requirements including specific amendments, when necessary, to ensure local labour and fiscal law compliance
  • Preparing employment contracts in conformity with legal requirements including specific amendments when necessary to ensure local labour and fiscal law compliance.
  • Preparing monthly pay slips for all staff, editing and updating the necessary data, to ensure the punctuality and accuracy of staff payroll.
  • Making all administrative information available to the staff (posting, meetings, etc.), supporting the HR Coordinator in translating documents into local language and assisting in meetings upon request.
  • Additional HR/ Admin tasks delegated by the HR Coordinator

Specific Accountabilities

  • Manage the processing of all required immigration documentation to maintain IMS staff’s legal status throughout their assignments (e.g., visas, residency permits, renewals).
  • Maintain and regularly update the full inventory records for all IMS residential properties.
  • Supervise support staff (cooks, cleaners, and nanny), including leave planning and ensuring periodic performance reviews (BILANs) are completed.
  • Prepare, process, and track all HR Standard List Internal Requests (IRs) to ensure timely validation and dispatch.
  • Review and validate rosters prepared by the Logistics Team, ensuring fair and balanced distribution of shifts.
  • Assist with various aspects of recruitment.
  • Timely preparation of staff income tax (PAYE) and Pension deduction for submission to finance.
  • Timely preparation of International Mobile Staff per diem.

Requirements

Education Desirable finance, HR, business or administration related diploma/Degree.
Experience Essential previous working experience of at least two years in relevant jobs.

Desirable experience in MSF or other NGOs in developing countries.

Languages English and Chichewa
Knowledge Essential computer literacy (word, excel and internet)
