Banja La Mtsogolo (BLM) is a Malawian Non-Governmental Healthcare Organization established in 1987. BLM provides quality Family Planning and Reproductive Healthcare services, including HIV/AIDS information and interventions. BLM is a senior member of the Marie Stopes International (MSI) Partnership, which operates in 43 countries.

We exist to improve the quality of life in Malawi through family planning and reproductive healthcare services. We serve over 800,000 clients annually and make a significant contribution to national family planning objectives. The organization has national coverage, operating through 23 clinics and numerous outreach clinic sites.

Finance Officer-Social Marketing

Direct Reporting line: Revenue Specialist

Parallel Reporting line: Social Marketing Manager

Location: Support Office-Lilongwe

Role Purpose

The role will be responsible for handling operational and administrative financial tasks relating to the Social Marketing channel.

The primary objective of this role is to ensure the complete accuracy and reconciliation of sales revenue, manage and value inventory, and enforce robust financial controls over stock and cash. This role will ensure all BLM’s accounting processes complies with MSI policies as well as IFRS.

The ideal candidate will be a key player in safeguarding company assets and providing reliable financial data for the Social Marketing Channel.

Key Responsibilities

Sales Revenue Reconciliation

  • Perform daily/weekly reconciliation of sales data captured in the Sort system against bank statements and physical bank deposit slips.
  • Investigate, identify, and resolve any discrepancies between the three data sources (System, Bank, Deposit Slips) in a timely manner.
  • Ensure all sales income is fully and accurately accounted for and deposited.

Stock Management and Valuation

  • Reconcile stock balances for the sales team and central warehouse monthly.
  • Ensure the proper valuation of stock in accordance with BLM’s accounting policies.
  • Conduct and lead monthly stock counts in collaboration with the sales team.
  • Analyze and report on stock variances, identifying root causes and recommending corrective actions.

Financial Controls and Compliance

  • Ensure strict adherence to all company controls surrounding stock management, sales processes, and cash handling.
  • Monitor compliance with financial policies and procedures within the commercial sales team.
  • Implement improvements to internal controls to mitigate risk of loss or error.

Financial Reporting and Documentation

  • Prepare and post the sales income journal for review and approval by the Revenue Specialist.
  • Prepare and post the cost of goods journal for review and approval by the Revenue Specialist.
  • Prepare bank reconciliations for the Social marketing bank accounts for review by the Revenue Specialist.
  • Ensure the accurate and timely filing of all commercial sales documentation, including invoices, goods receipt notes, delivery notes, and reconciliation reports, for easy retrieval and audit purposes.
  • Assist in the preparation of relevant reports for management regarding sales performance and inventory status.

  • Analytical & Meticulous: Exceptional attention to detail with strong analytical and problem-solving skills.
  • Systems Proficiency: High proficiency in Microsoft Excel. Experience with accounting software (e.g., SUN, QuickBooks, SAP, Sage)
  • Organizational Skills: Excellent organizational and time-management skills with the ability to meet deadlines.
  • Communication: Good verbal and written communication skills to effectively collaborate with the sales team and management.
  • Proactive & Controls-Focused: A proactive individual with a strong understanding of and commitment to internal controls.

Qualifications and Experience

  • Have a Bachelor’s Degree in Accounting and/or Finance from well recognized university/college.
  • Part Qualified Accountant (ACCA, CIMA, ICAM, or other recognised accounting qualification) and a member of ICAM.
  • Proven experience (2+ years) in a similar finance officer, accounting, stock management, tax returns computation “VAT” or audit role, preferably within a sales- driven environment.
