Banja La Mtsogolo (BLM)

Background

Banja La Mtsogolo (BLM) is a Malawian Non-Governmental Healthcare Organization established in 1987.  BLM provides quality Family Planning and Reproductive Healthcare including HIV/AIDS information and interventions. BLM is a senior member of the MSI Reproductive Choices Partnership which works in 43 countries. BLM exists to improve quality of life in Malawi through family planning and reproductive health care services. BLM serves over 800,000 clients annually and makes a significant contribution to national family planning objectives. The organization has national coverage, operating through 23 clinics, and numerous outreach clinic sites.

1.     FINANCE OFFICER 

LOCATION        : Support Office – Lilongwe

REPORTING      : Senior Accountant

ROLE PURPOSE:

The role will be responsible for handling operational and administrative financial tasks and ensure all project accounting complies with MSI regulations and specific grant/donor requirements.

KEY RESPONSIBILITIES

Effective management and oversight of working capital: 

  • Process invoices, expenses, and reimbursements: Verify receipts, code transactions to correct projects/grants, and ensure timely payments to vendors or staff, whilst ensuring strict ad adherence to BLM’s staff advance policy.
  • Support staff with financial queries: Help resolve issues related to reimbursements, per diems, or travel advances.
  • Maintain petty cash: Handle small cash disbursements and reconcile balances regularly for support office.

Donor Reporting & Accounting

  • Verify expense eligibility: Confirm costs adhere to donor policies (e.g., no prohibited expenses).
  • Maintain audit-ready records
  • Collate data for donor reports and internal updates, under the Senior Accountant’s guidance.

Management of the financial reporting, internal and statutory Audits

  • Reconcile bank statements: Match internal records with bank transactions monthly to identify errors or fraud
  • Implement control procedures.
  • Flag irregularities: Report suspicious transactions, overspending, or compliance gaps to the Senior Accountant.

OTHER WORK

  • Maintain filing systems: Digitally and physically archive financial records for compliance.
  • Generate ad hoc reports: Pull data for the Senior Accountant’s analysis (e.g., expenditure trends by program).
  • Undertake any other reasonable duties to support the Finance Team with core deliverables, as requested by the Senior Accountant.

QUALIFICATIONS, SKILLS AND EXPERIENCE

  • Have a bachelor’s degree in accounting and/or degree in a finance related field, from well recognized university/college.
  • Part Qualified Accountant (ACCA, CIMA, ICAM, or other recognised accounting qualification) and a member of ICAM.
  • Experience working on donor-funded projects
  • Experience working with financial software and system (SUN systems and Q&A preferred).
  • Experience in multi-currency reporting and accounting
