Malawi Environment Protection Authority (MEPA)

The Malawi Environment Protection Authority (MEPA) was established by Section 7(1) of the Environment Management Act (EMA) of 2017 as the principal agency for the protection and management of the environment and sustainable utilization of natural resources. MEPA coordinates, monitors, supervises and consults with all relevant stakeholders on all activities relating to the utilization and management of the environment and natural resources.

MEPA is inviting applications from suitable, highly qualified, experienced and motivated candidates to fill the following vacancies tenable at its Secretariat at MEPA House, Nkhalango Street, City Centre, Lilongwe:

D. DIVISION OF HUMAN RESOURCES AND ADMINISTRATION

Job Title: Executive Assistant
Grade: (M5)
Reporting to: Director General

PURPOSE, ROLES AND RESPONSIBILITIES

Purpose of the Job

To provide secretarial services

Key Roles and Responsibilities

  1. Manage the Director General’s calendar, schedule meetings, coordinate appointments and handle correspondence
  2. Organize and maintain confidential records, reports, and key documents for the Director General’s office.
  3. Ensure timely flow of information between the Director General and MEPAs Directorates, government institutions, and external stakeholders
  4. Plan, coordinate, and provide logistical support for internal and external meetings, high-level events, and missions involving the Director General.
  5. Follow up on action points and ensure decisions made by the Director General are communicated and implemented across Divisions and Directorates.
  6. Indexing the DG’s business correspondence.
  7. Organizing the DG’s office refreshments, wall charts, year planners, among others.
  8. Controlling stationery and other office materials for the DG’s office.
  9. Supplying and provides approved reference materials to stakeholders.
  10. Any other duties as may be assigned.

JOB SPECIFICATIONS AND PERFORMANCE FACTORS

Qualifications and Experience

  • Degree in Administrative Studies, and Secretarial Studies, and at least three (3) years’ experience in a similar position.
  • Or Diploma in Administrative Studies with over seven (7) years of experience.

  • A proven secretarial background
  • Excellent IT skills.
  • Excellent oral and written communications skills
  • Experience of establishing and maintaining office systems
  • Flexibility and able to work under pressure to meet deadlines
  • Excellent word processing skills
  • Experience of working with senior managers
  • Pleasant and courteous personality
