  1. ORGANIZATIONAL BACKGROUND

Green Livelihoods (GL) is a Malawian development organization established in 2006 that promotes sustainable livelihoods, inclusive economic opportunities, and environmentally responsible development. GL works with communities, farmers, enterprises, private sector actors, and other stakeholders in areas including climate-smart agriculture, agribusiness, enterprise development, environmental sustainability, and green and blue economy opportunities.

To complement its development programming and strengthen institutional and financial sustainability, GL established GLICOMEX as its social enterprise and commercial arm. GLICOMEX focuses on commercializing viable value chains and business opportunities emerging from GL’s programming, while developing independent commercial ventures that can generate sustainable revenues.

As GLICOMEX’s portfolio continues to expand, GL is seeking a proactive, self-driven, and commercially minded Commercial Operations Officer to support the day-to-day operations, sales, marketing, customer relations, inventory management, logistics, and business development activities of GLICOMEX ventures.

  1. MAIN DUTIES AND RESPONSIBILITIES

The Commercial Operations Officer will:

A. Customer Service and Sales

  • Manage day-to-day customer interactions, respond to inquiries, process and follow up on orders, provide product information, and address customer feedback and complaints.
  • Maintain accurate customer records and support customer retention and relationship management.
  • Follow up potential customers, buyers, distributors, suppliers, and business partners to develop new commercial opportunities.
  • Support sales activities and contribute to achieving sales and revenue targets.

B. Stock and Inventory Management

  • Monitor stock levels and maintain accurate inventory records.
  • Support the receipt, storage, dispatch, and movement of products.
  • Participate in stock-taking and verification exercises.
  • Promptly report stock shortages, damages, losses, or discrepancies.
  • Ensure appropriate documentation is maintained for stock movements.

C. Financial and Sales Records

  • Maintain accurate records of sales, receipts, payments, and business-related expenses.
  • Reconcile daily sales and cash records and verify supporting documentation.
  • Ensure that sales transactions are properly documented and accounted for.
  • Identify and promptly report financial or operational discrepancies to the responsible supervisor.

D. Marketing and Digital Promotion

  • Support the promotion of GLICOMEX products and services through social media and other marketing channels.
  • Respond to online customer inquiries and monitor customer engagement.
  • Support the implementation of marketing, promotional, and customer engagement campaigns.
  • Contribute ideas for improving the visibility and market positioning of GLICOMEX products and services.

E. Exhibitions, Trade Fairs and Promotional Events

  • Support the planning, organization, and participation in exhibitions, trade fairs, markets, product showcases, and other promotional events.
  • Assist with product displays, customer engagement, sales promotion, and collection of market intelligence.
  • Support sales and customer follow-up after exhibitions and other promotional activities.
  • Maintain records of contacts and potential business opportunities generated through events.

F. Business Development and Market Linkages

  • Identify and follow up potential customers, buyers, distributors, suppliers, and business partners.
  • Conduct basic market research and maintain business leads and contact databases.
  • Identify new market opportunities and support the development of market linkages.
  • Monitor market trends, customer preferences, pricing, and competitor activities.
  • Provide relevant market intelligence to support commercial decision-making and business growth.

G. Operations and Logistics

  • Provide day-to-day operational and administrative support across GLICOMEX ventures.
  • Coordinate business activities, logistics arrangements, documentation, scheduling, and follow-up of outstanding actions.
  • Support timely movement and delivery of products and materials.
  • Assist in resolving operational issues that may affect business activities.

H. Procurement and Supplier Coordination

  • Support procurement and supplier coordination processes, including obtaining quotations and following up deliveries.
  • Maintain supplier and service-provider records.
  • Monitor availability of goods and services required for business operations.
  • Coordinate with relevant GL staff to ensure procurement processes comply with applicable organizational procedures.

I. New Product and Business Development

  • Support the identification, development, testing, and commercialization of new products, services, value chains, and business opportunities emerging from GLICOMEX ventures and GL programming.
  • Support pilot commercial activities and provide feedback on customer response and market potential.
  • Contribute to improving the commercial viability, profitability, visibility, and sustainability of GLICOMEX ventures.

J. Reporting and Record Keeping

  • Maintain accurate business records, customer databases, inventory records, sales information, and operational documentation.
  • Prepare timely updates and reports on sales performance, customer trends, stock status, business leads, market opportunities, competitor activities, and operational challenges.
  • Provide accurate information to support management decision-making, business planning, and performance monitoring.

K. Stakeholder Engagement

  • Represent GLICOMEX professionally when engaging with customers, suppliers, partners, exhibitors, service providers, and other stakeholders.
  • Build and maintain professional relationships that support the growth and reputation of GLICOMEX.
  • Maintain high standards of customer service and professional conduct in all interactions.

L. Other Duties

  • Undertake any other duties reasonably assigned by the GLICOMEX Manager or designated supervisor in support of GLICOMEX’s commercial objectives.
  1. QUALIFICATIONS AND EXPERIENCE
  • Diploma or Bachelor’s degree in Business Administration, Business Management, Marketing, Commerce, Entrepreneurship, or a related field.
  • Relevant experience in business operations, sales, customer service, marketing, stock management, business development, or related commercial activities will be an advantage.
  • Good working knowledge of Microsoft Office applications, particularly Microsoft Word and Excel.
  • Experience in social media management, digital marketing, exhibitions, trade fairs, sales, or market linkage activities will be an added advantage.
  • Experience working with enterprises, social enterprises, SMEs, value chains, or development organizations will be an advantage.

2. POSITION: HUMAN RESOURCE & ADMINISTRATION OFFICER

Duty Station: Lilongwe
Employment Type: Temporary
Initial Contract: Three (3) months, from October to December 2026, with the possibility of extension subject to performance and availability of funding.
Reporting To: Head of Finance & Operations, with overall administrative oversight by Management.

Key Responsibilities

The Human Resource & Administration Officer will be responsible for supporting the effective management of human resources and administration functions of the organisation. Key duties will include:

  • Maintaining accurate and up-to-date personnel records and staff files.
  • Supporting recruitment, on boarding, orientation and separation of staff.
  • Preparing and maintaining employment contracts, staff records and HR documentation.
  • Supporting staff attendance, leave administration and other personnel matters.
  • Assisting with payroll-related HR information and staff benefits administration.
  • Coordinating staff welfare, insurance/medical aid and other employee-related matters.
  • Supporting performance management and staff appraisal processes.
  • Ensuring compliance with organisational HR policies, procedures and applicable labour requirements.
  • Providing general administrative support to management and staff.
  • Maintaining office administrative records and coordinating office-related services.
  • Supporting procurement and logistical arrangements for office operations when required.
  • Organising meetings, staff activities and maintaining appropriate administrative records.
  • Assisting in the development, review and implementation of HR and administrative policies and procedures.
  • Performing any other duties as may reasonably be assigned by Management.

Qualifications and Experience

Applicants should have:

  • A Bachelor’s Degree in Human Resources Management, Business Administration, Public Administration, or a related field.
  • At least three (3) years’ relevant experience in human resources and administration, preferably within an NGO or similar organisation.
  • Good knowledge of Malawi labour laws and HR practices.
  • Experience in maintaining personnel records and administering staff benefits.
  • Good understanding of recruitment, employee relations and performance management.
  • Strong organisational, communication and interpersonal skills.
  • Good computer skills, particularly Microsoft Office applications.
  • Ability to work independently, maintain confidentiality and meet deadlines.
  • High level of integrity, professionalism and attention to detail.
