Position: Church Administrator

To support this vision, TTG is seeking a highly motivated, Spirit-led, and creative Church Administrator to coordinate day‐to‐day operations, administration, communication, and logistics to ensure effective functioning of The Temple of God (TTG). The role enables smooth ministry operations so the Pastor and leaders can focus on spiritual responsibilities.
Position: Church Assistant Administrator
Duty Station: Lilongwe
Reports to: Senior Pastor / Executive Leadership
Engagement: Full-time
Start Date: Immediately or as agreed
Key Duties & Responsibilities
1. Administrative Leadership & Office Management
- Serve as primary contact for all church office inquiries and manage official communication.
- Maintain membership records, filing systems, and office supplies.
- Prepare weekly briefs, letters, minutes, and ensure proper documentation.
2. Service & Ministry Coordination
- Coordinate logistics for Sunday services, midweek meetings, and special programmes.
- Develop weekly service programmes and ensure ministry units know their roles.
- Track attendance and prepare simple weekly/monthly administrative reports.
3. Finance & Stewardship Administration
- Support income recording, safe handling, banking, and expenditure tracking.
- Assist in preparing budgets and financial reports with the Finance Team.
- Ensure orderly management of contracts, payments, and financial documentation.
4. Human Resource & Volunteer Coordination
- Maintain updated worker/volunteer lists and service rosters.
- Coordinate recruitment, orientation, and training of volunteers.
- Maintain staff attendance, leave records, and support performance monitoring.
5. Communication & Media Coordination
- Manage official communication channels (email, phone, WhatsApp groups).
- Prepare weekly announcements, bulletins, and coordinate publicity materials.
Maintain and update the church calendar and internal communication systems.
6. Facilities, Logistics & Asset Management
- Ensure church facilities are clean, functional, and ready for all services.
- Coordinate repair, maintenance, and security of the premises.
- Maintain an updated asset register and manage inventory.
7. Governance, Compliance & Records
- Maintain church registration documents, policies, minutes, and legal files.
- Ensure compliance with national requirements and safeguarding guidelines.
- Prepare administrative reports requested by leaders or regulating bodies.
8. Member Care & Follow‐Up Support
- Coordinate first‐timer follow‐up, membership classes, and discipleship records.
- Support scheduling for counselling and pastoral visits.
- Ensure administrative response to member life events (bereavement, weddings, etc.).
9. Strategic & Pastoral Support
- Provide admin support for church goals, planning meetings, and leadership programs.
- Prepare simple analytics (attendance, giving summaries, programme updates).
- Represent the church in delegated administrative matters with external partners.
Qualifications
- Bachelor’s degree in Administration, Business Administration, Management or related field.
- Minimum 2 years’ experience in administration or project coordination.
- Experience in church administration is an added advantage.
Skills & Competencies
- Strong organizational, communication, and interpersonal skills.
- Proficiency in MS Office, email tools, and basic finance/bookkeeping.
- High integrity, confidentiality, and ability to work with minimal supervision.
