Founded in 1987, the AIDS Healthcare Foundation (AHF) is a global organization providing cutting-edge medicine and advocacy to over 2,900,000 patients in 50 countries. In Malawi, AHF is working in partnership with the Ministry of Health and Sanitation (MOHS) to strengthen access to quality treatment for HIV/AIDS tuberculosis (TB), and sexually transmitted infections (STls). AHF Malawi is providing these services in 38 hard-to-reach health facilities in Dedza, Lilongwe, Ntcheu, Nkhotakota, Chikwawa, and Nsanje Districts with expansion to Chiradzulu and Thyolo planned in 2026. Reception/Linkage and Retention Counselor
Reports to: Comprehensive Nurse
Duty Station: Biwi Health Centre (Wellness Clinic), Lilongwe district
Position Summary
The Facility Receptionist serves as the first point of contact for all clients visiting the Wellness Centre. The role ensures a warm, respectful, stigma free environment and manages client flow, EMR registration, administrative tasks, and linkage support activities.
The position contributes significantly to improving service flow, retention, and client satisfaction at a high volume facility.
Essential Duties and Responsibilities
- Welcome clients and manage front desk operations in a professional, client centered manner.
- Register clients in the EMR system and maintain accurate, confidential records.
- Direct clients to appropriate service points and ensure smooth client flow.
- Support linkage of newly diagnosed HIV positive clients to care.
- Track missed appointments and coordinate follow up with CHWs and diagnostic staff.
- Distribute and monitor partner notification slips.
- Maintain reception area supplies, documentation, and filing systems.
- Handle client inquiries and support client feedback processes.
- Participate in facility meetings and contribute to service flow improvement.
- Perform additional administrative duties as assigned.
Qualifications, Experience, and Other Attributes
- Certificate or Diploma in Business Administration, Information management systems, Public Administration or related field.
- 2-3 years’ experience in reception or administrative support, preferably within an NGO or health care environment.
- Strong interpersonal, communication, and customer service skills.
- Competent in MS Office and basic EMR/data entry functions.
- Ability to work efficiently in a busy clinical environment.
- High level of confidentiality, integrity, and professionalism.
