Position Summary
The Resource Mobilisation & Administration Officer leads GJU’s fundraising, donor engagement, and administrative coordination functions. The role supports proposal development, donor reporting, partnership management, and internal administration, while contributing to the organisation’s long-term financial sustainability and institutional strengthening in line with the GJU Strategic Plan.
Key Responsibilities
Resource Mobilisation & Donor Engagement
- Lead donor mapping, prospect research, and funding pipeline tracking aligned with GJU’s strategic priorities
- Coordinate development of concept notes, proposals, and budgets in collaboration with programme and finance teams
- Maintain a donor database and funding calendar
- Support donor reporting processes, including narrative and compliance documentation
- Coordinate donor communications, meetings, and follow-ups
Administration & Organisational Support
- Coordinate recruitment logistics, onboarding, and staff documentation
- Oversee office administration, assets, logistics, and service providers
- Maintain personnel files, leave records, and HR documentation; support payroll preparation
- Coordinate staff training, professional development, and paralegal network logistics
- Coordinate travel arrangements, meetings, and events
- Support safeguarding, SEAH, Code of Conduct, and whistleblowing administration
- Supervise support staff (reception, driver, office assistant, etc.)
Strategic & Institutional Support
- Support implementation of GJU’s sustainability and localisation strategy
- Contribute to organisational learning, documentation, and annual planning
- Support audits, due diligence processes, and donor assessments
Required Qualifications & Experience
- Bachelor’s degree in Development Studies, Business Administration, HR, or related field
- Minimum 3 years’ experience in resource mobilisation, administration, or NGO operations
- Strong proposal writing and donor communication skills
- Knowledge of NGO compliance and donor requirements
- Excellent organization coordination, and interpersonal skills
