RESPONSIBILITIES

JOB PURPOSE

Partner with the business to deliver best in-class service (the one Airtel experience) to employees and implement and monitor Talent Management service delivery strategy. Wholly own and manage Employee Performance Reviews . Managing HR costs to ensure that the functions operate within the approved budgets lines. Providing HR support to functions, data entry, troubleshooting and guidance for the Oracle Human Resources Information System

KEY ACCOUNTABILITIES

1.HRMS Management

  • Ensure accuracy and completeness of employee data in HRMS.
  • Oversee full employee lifecycle data management.
  • Handle onboarding processes, including new hire formalities and HRMS record creation.
  • Manage staff movements such as transfers and promotions, update assignments in HRMS, and generate letters.
  • Process employee exits, update HRMS records, and conduct monthly attrition analysis.

2. Reporting & MIS

  • Develop and maintain customized reports from HRMS/automated tools to meet management needs.
  • Submit monthly MAPA, Flash, and Forecast reports to Finance.
  • Provide monthly HR provisions and unit cost inputs to Finance.
  • Prepare HR cost vs. Annual Operating Plan (AOP) comparison reports for the HR Director.

3.Employee Relations

  • Develop, review, and implement HR and Administration policies and SOPs.
  • Update and enforce the Terms and Conditions of Service handbook.
  • Represent the organization in labor disputes.
  • Facilitate disciplinary hearings and grievance resolution, including counseling sessions.
  • Support collective bargaining between management and union leadership.
  • Ensure compliance of Airtel policies with Malawi labor laws.
  • Advise line managers on personnel practices and employment legislation.
  • Monitor HR program costs and recommend policy adjustments to the HR Director.
  • Conduct employee inductions on Airtel Code of Conduct and other policies.
  • Develop and implement occupational health, safety, and wellness programs.
  • Establish fraud prevention, anti-corruption, and anti-bribery policies.

4.Staff Welfare

  • Safeguard employee safety, security, and work tools
  • Plan and allocate office space and workstations.
  • Manage stores and oversee provision of office supplies (groceries, stationery, teas, bottled water).
    Implement bereavement policy.
  • Design and execute wellness programs.
  • Manage catering service contracts and enforce compliance with provisions

5. Pension Fund Management (Principal Officer Duties)

  • Monitor and manage pension fund performance.
  • Prepare and remit monthly pension contributions to fund administrators.
  • Organize annual general meetings for members.
  • Facilitate pension withdrawals and transfers for new and exiting employees
  • Develop training programs for pension fund trustees.
  • Draft and amend trustee deeds
  • Notify fund administrators of changes and updates.
  • Oversee completion and amendment of nomination forms.
  • Manage distribution of death benefits
  • Verify individual pension statements before printing by administrators.

6.Key Reports to HR Director

  • Quarterly HR functional board paper reports
  • Monthly mark-to-market and MDs reports.
  • Monthly HR scorecard reports.
  • Monthly headcount reconciliation reports.
  • HR Flash and Forecast reports.
  • War on Waste Flash and Actual Forecast reports.
  • Employee turnover reports.
  • Monthly leave and leave liability reports.

QUALIFICATIONS

Educational Qualifications

  • Minimum of 5 years’ experience in Human Resources Management with a bias in Human Resources Analysis and HR productivity
  • 5 Years experience in Talent Management
  • High degree of computer literacy and knowledge of MS Word, MS Excel, MS PowerPoint.
  • Strong Knowledge of HRMS
  • Skills in handling multiple tasks and prioritizing
  • Excellence analytical Skills in data and problem solving
  • Maintain confidentiality at all times
  • Ability to work with minimal supervision
  • Ability to adapt to new situations quickly.
