This job is located in the Country Office (CO). Business Support and Ambulance Driver shall report technically to the Nurse

In the interest of WFP’s duty of care and organizational continuity, the role of the Business Support Assistant and Ambulance Driver is

  • to support the medical officers and nurses in areas of staff health and safety.
  • to provide effective and safe transportation of the Ambulance in the interest of supporting the promotion of health, preventing injury and illness, diagnosis and treatment, referrals, stabilizing any emergencies, facilitating medical evacuations.

ACCOUNTABILITIES/RESPONSIBILITIES:

In particular, the incumbent will undertake the following tasks:

1. Oversee front-desk activities at the clinic in Lilongwe

  • Check with Booking Hub for bookings and update PCC doctors regarding appointments daily.
  • Handle insurance claim processing for expanded client list.
  • Timely processing and disseminating of invoices to clients or UN agencies
  • Take the lead in arranging for internal meetings and take minutes for such meetings and disseminate thereafter

2. Other PCC administrative duties

  • Facilitating retrieval staff records from agencies in Malawi and forward them to HQ to update the Cority Electronic Health Record system.
  • Support in the onboarding of other non-UN agencies and international organizations as PCC clients.
  • Manage calendars of external meetings, book venues, and organize travel logistics
  • Organizing and disseminating information on health activities including promotion campaign on Viva Engage (internal media platforms).

3. Clinic asset/ inventory management including procurement and entry into the inventory database as directed by the Resources Management Unit Admin team.

4. Coordinate with maintenance team to keep service records and observe service and calibration intervals of crucial assets including the ambulance, medical and non-medical equipment within the clinic premises.

5. Ambulance driver profile

  • Provide transportation to PCC staff in the line of duty, including but not limited to patient visits, sourcing or delivery of medical and non-medical supplies, and
  • Provide transportation to PCC patients for elective reasons related to clinical procedures or treatment, and in rare emergency medical evacuation situations when necessary.
  • Responsible for accurate maintenance of the ambulance log book, and daily reporting to the supervisor on mechanical status to ensure efficient vehicle use and fuel consumption supporting accurate accounting and cost-efficiency.
  • Efficiently plan and coordinate WFP ambulance maintenance to ensure vehicles are fully equipped with required travel authorizations and supplies, assigned equipment on board is in a good condition to support safe and efficient services.
  • Follow established rules and regulations for field deliveries and/or in cases of an accident, and report immediately to the supervisor on any apparent problems, to seek for instructions and facilitate informative decisions on the way forward.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

  • Basic certification in Nursing and/or paramedical science.
  • Formal drivers training with a valid driver’s license/certification to operate assigned vehicle following local rules and regulations.

Experience:

  • Three or more years of experience in general administrative work
  • Three or more years of work experience as a Driver preferably in an international organization, embassy or UN system or medical institution with a demonstrated safe driving record.
  • Experience in driving an ambulance.
  • Experience in defensive driving is desirable.

Knowledge & Skills:

  • Excellent verbal and written communication.
  • Skills in operating ambulances with hands-on experience in emergency driving.
  • Proficiency in: MS Office (Excel for data, PowerPoint for presentations, Word for documentation)
  • Shows persistence when faced with difficult problems or challenges.
  • Remains calm in stressful situations
