BACKGROUND

KOLPING INTERNATIONAL is a Catholic international organization founded in 1850 in Cologne in Germany by the blessed Fr. Adolf Kolping. The organization is currently present in 61 countries with over 400,000 members around the world Malawi inclusive.

Kolping Society of Malawi was officially established as an organization on 23rd March 2023 registered as a National Association. It currently has 1956 members spread across the three Catholic Dioceses of Karonga, Mzuzu and Dedza with plans of extension to other Dioceses. The organization has strong presence in the Diocese of Karonga which also holds its National office in Karonga district. Kolping Society of Malawi aims at promoting the common good in a Christian spirit by empowering individuals and communities through self-help programs, social and economic initiatives and fostering strong families and communities.

Kolping Society of Malawi, with assistance from KOLPING INTERNATIONAL, will be implementing a project funded by the German Federal Ministry for Economic Cooperation and Development (BMZ) in all its impact areas.

It is in this regard that Kolping Society of Malawi seeks the services of an experienced accountant within Malawi with a strong background in financial management for international development projects to help in the smooth implementation of the organization’s activities. Kolping Society of Malawi therefore invites applications from interested and qualified candidates to fill in the following vacant position:

Position: Project Accountant
Reporting to: The Kolping Coordinator
Location: Karonga Diocese Offices

Summary of responsibilities:

The Projects Accountant’s main responsibility include managing expense reports and reimbursements, financial documentation and monthly and annual budget planning in compliance with BMZ and organizational regulations,

Main Duties

  1. Support budget monitoring by tracking expenditures against approved project budgets and identifying variances and risks
  2. Monthly and annual budget planning,
  3. Reconcile invoices and identify discrepancies
  4. Create and update expense reports
  5. Assist in preparing financial reports for internal review and donor submission in line with BMZ requirements
  6. Ensure project compliance with BMZ rules and regulations, internal procedures and local laws
  7. Process reimbursement forms
  8. Prepare bank deposits
  9. Record and maintain financial transactions into internal databases
  10. Check spreadsheets for accuracy
  11. Maintain digital and physical financial records
  12. Issue invoices to customers and external partners, as needed
  13. Review and file payroll documents
  14. Participate in quarterly and annual audits
  15. Any other duties assigned from time to time.

Qualification

  1. BSc in Accounting, Finance or relevant field
  2. At least 3 years of relevant work experience is required.
  3. Experience in financial management for International development projects is desired
  4. Experience working in NGOs is an advantage
  5. Good communication and interpersonal skills.
  6. Familiarity with finance regulations
  7. Proven ability to prepare reports and maintain complete files and records.
  8. Ability to communicate clearly and concisely in written and spoken English
  9. Hands-on experience with MS Excel and accounting software (e.g. Quick Books)
  10. Good Organizational skills
  11. Ability to handle sensitive and confidential information.
