Job Description
INTRODUCTION
The Malawi – Liverpool – Wellcome – Programme (MLW) is a world-class health research institution committed to improving health through research, capacity building, and strong partnerships.
POSITION FUNCTION (PURPOSE):
We are looking for an organized Finance Assistant to do file management and maintenance. You will organize paperwork according to an efficient filing system and digitalize all important documents. You will be expected to protect and update files as well as make them easily accessible to your colleagues.
The Finance Assistant must be organized and possess a serious understanding of confidentiality and data protection. The ideal candidate will be skilled in computers and detail oriented.
The goal is to preserve MLW’s records and manage paperwork effectively
Responsibilities
KEY ACCOUNTABILITIES/RESPONSIBILITIES: The major duties and tasks of this job.
- Create or update records with new files and information.
- Store all paperwork in designated places securing the important documents.
- Uploads digital files and data by using optical scanners.
- Deal with all requests to access files and keep logs of retrieved documents and tracing the movement of the files that goes out from the Archive.
- Opening new fields and labelling.
- Develop an efficient filing system to make updating and retrieving files easier.
- Follow policies and confidentiality dictations to safeguard data and information.
- Monitor inventory of files and other office stationery and ensure timely replenishment.
- Discards documents when required in accordance with MLW procedures and relevant laws.
- And other duties as assigned.
Requirements
QUALIFICATIONS: (i.e. Education, Training and Experience Requirements).
(a) Education.
Certificate in archiving or File Management those with Diploma will have an added advantage.
- (b) Experience:
- Should have more than 2 years experience in archiving
KEY COMPETENCIES/ATTRIBUTES AND SKILLS
- Proven experience in file management.
- Knowledge of filing systems.
- Very good knowledge of MS Office and office equipment such as photocopier, scanner etc.
- Good command of English both oral and written.
- Dependable with respect to confidentiality and policies.
- Excellent organizational skills.
- Great attention to detail.
