Overview
The Human Resources Assistant will provide comprehensive support to the Human Resources function, contributing to the effective delivery of HR operations and initiatives. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities independently. The successful candidate will assist in recruitment, payroll, performance management, compliance, and employee engagement activities. They will also support the Head of HR in labor relations and statutory obligations, ensuring smooth and compliant HR operations across the organization.

This position is based in Lilongwe, Malawi.

Key Role Responsibilities

A. Operational Delivery

  • Coordinate planning and implementation of HR forecasts
  • Ensure all job positions have updated job descriptions
  • Facilitate recruitment and deployment processes
  • Manage payroll processing and statutory HR obligations
  • Support salary and benefits surveys
  • Coordinate talent management and performance management processes
  • Maintain accurate and up-to-date HR records
  • Handle immigration documentation and compliance
  • Provide policy guidance and support to employees
  • Assist in assessing training needs and implementing HR systems
  • Undertaking assignments delegated by the Head of HR
  • Support the HT Malawi Compliance Champion in maintaining registers, training records, and monitoring activities

B. Staff Leadership and Management

  • Foster a collaborative and cohesive team environment
  • Lead team meetings and contribute to technical discussions
  • Take ownership of personal development and support team performance
  • Communicate progress, challenges, and achievements to the Head of HR

C. Governance and Operational Support

  • Set up and manage adhoc meetings for operational requirements
  • Resolve escalations in line with defined procedures
  • Design and implement operational changes with user impact assessments
  • Provide inputs on departmental progress and performance metrics

Requirements for the Role

  • A minimum of an undergraduate degree in Public Administration, Human Resources Management, Business Administration, Education, or Social Sciences
  • At least 3 years of experience in a similar role within a reputable organization
  • Strong communication, organizational, and time management skills
  • Ability to work independently and manage multiple priorities
  • Demonstrated initiative and problem-solving capabilities
