The Smallholder Farmers’ Fertilizer Revolving Fund of Malawi (SFFRFM) is inviting applications from suitably qualified candidates of Malawi origin to fill the positions of Senior Assistant Human Resource and Administration Officer tenable at its Regional Offices.

JOB TITLE: SENIOR ASSISTANT HUMAN RESOURCES AND ADMINISTRATION OFFICERS
Department: Human Resources and Administration
Grade : Grade F7
Reporting to: Regional Business Manager
Responsible for : Safety & Maintenance Technician, Registry and Stores Clerk, Senior Security Guard, Receptionist, Cleaners, Office Assistants

PURPOSE OF THE JOB
To oversee daily management of human resources, development and administrative services at the SFFRFM Regional Office. This includes managing HR and administrative staff, ensuring that office procedures are followed, and coordinating administrative support services.

KEY DUTIES AND RESPONSIBILITIES

Duties

  • Assisting in the interpretation and implementation of conditions of service, policies and procedures in accordance with labour laws.
  • Organizing, coordinating and conducting recruitment, selection and placement of staff.
  • Handling medical and pension schemes.
  • Assist in processing payroll.
  • Handling disciplinary, grievance issues and handling employee relations issues and resolving conflicts within the HR and administration section.
  • Enforcing adherence to HR policies, regulations and relevant laws and regulations.
  • Conducting training needs assessment and developing staff development and training plans and programmes.
  • Preparing periodic reports.
  • Maintaining employee information in the HR Information system.
  • Maintaining HR records.
  • Supervising managing administrative including hiring, allocating work, training, and evaluating performance.
  • Overseeing office operations, including managing supplies, equipment, and facilities.
  • Coordinating administrative support services, such as mail distribution, record keeping and data entry. administration department coordinate administrative activities. projects as needed.

QUALIFICATIONS AND WORK EXPERIENCE
The ideal candidate must have:

  • MSCE with a credit in Mathematics and English, plus an
  • Advanced Diploma in Business Administration, Human Resources Management or any related disciplines from a reputable and a NCHE accredited university.
  • At least three (3) year’s work experience in a busy organization.

  • Thorough knowledge of HR policies, procedures, processes and labour laws
  • Ability to work under minimal supervision
  • Self-confident and strong networking skills
  • Self-starter, team player and people management skills
  • Ability to communicate effectively and deliver presentations
  • Knowledge of ICT
