Background
Banja La Mtsogolo (BLM) is a Malawian Non-Governmental Healthcare Organization established in1987. BLM provides quality Family Planning and Reproductive Healthcare including HIV/AIDS information and interventions. BLM is a senior member of the MSI Reproductive Choices partnership which works in 37 countries globally. BLM exists to improve the quality of life in Malawi through family planning and reproductive health care services. BLM serves over 800,000 clients annually and makes a significant contribution to national family planning objectives. The organization has a national coverage, operating through 23 clinics, and numerous outreach clinic sites.

HUMAN RESOURCES OFFICER
LOCATION: Support Office – Lilongwe
REPORTING LINE: Human Resources Manager
Role Purpose
The HR Officer supports the HR Manager in day-to-day HR activities, including record management, reporting, employee queries, and policy compliance. Further, he/she will provide expert professional advice and support to employees on all aspects of people management in line with the current employment legislation and best practices.
Key Responsibilities
- Support the HR Manager in recruitment and selection activities.
- Plan and coordinate induction programs for all new employees.
- Prepare and administer payroll, ensuring accurate and timely processing of salaries, deductions, and statutory contributions in line with company policies and labour law
- Process payments for Medical Scheme premiums, claims, and recoveries for employer contributions on settled medical bills.
- Coordinate funeral provisions and provide support for staff and their dependents during bereavements.
- Maintain and update leave records and assist in processing leave applications and approvals.
- Track employment contracts, ensuring start and end dates are accurate and readily available.
- Draft routine correspondence to staff as requested by the HR Manager.
- Respond promptly to staff queries via email or phone.
- Provide HR data for monthly and ad-hoc reports.
- Compile basic reports as requested by the HR Manager.
- Submit information on new entrants, departures, and deaths to the BLM Group Life Assurance Scheme to ensure smooth operations.
- Provide guidance to staff on Malawi Labour Law and BLM Rules and Regulations to ensure compliance and understanding.
- Offer general HR support to employees, addressing day-to-day queries and assisting with HR processes as needed.
Skills, Qualifications and Experience
- Bachelor’s degree in Human Resources Management, Public Administration, Business Administration or any relevant qualifications.
- Minimum of 3 years relevant human resources management experience in a diverse NGO or INGO
- Ability to work quickly and accurately with the various computer applications including Microsoft: Word, Excel, Office Outlook, Power point, Sage VIP, Oracle plus the ability to quickly learn new applications.
- Attention to detail and a sufficient level of numeracy.
- Self-accountability on making decisions, managing resources efficiently and role modelling HR best practices.
- Strong understanding of employment law and a keen interest to remain abreast with changes in labour legislation and best practices.
- High level of integrity and Excellent communication skills.
- Ability to demonstrate commitment to BLM’s mission and organizational values
