Job Summary
The security Project Manager is responsible for leading and developing a strong management and administration team capable of exercising effective operational and financial management and operational controls of the contract while fostering a positive working environment that ensures customer satisfaction. The position is tasked in taking a lead to deliver service excellence, attain project profitability, business development and growth, practice effective financial management and ensuing attainment of high compliance culture in the arear of health, safety and environment management in line with set delivery standards.
Duties and Responsibilities
Reporting to the Deputy Country Director, the Project Manager shall be responsible for carrying out the following activities:
- Carry out the day to day management of the contract office including managing client relations, new assignment/job start ups to ensure uninterrupted work flow and provision of services in line with expectations from both parties.
- In liaison with the Head of Finance, prepare and manage budget and targets for the entire project operational / administration staff and also planning on both a short-term and long-term basis, for future operational growth and expansion.

The position is accountable to the Head of Security operations or if at Project site to the Project Manager.
Job Summary:
Principal role is to manage and coordinate Operations functions for a region or a project with focus on the management for all elements of the guard force operations and cash management services to ensure compliance with all contractual requirements and company procedures and to assume all operation functions and duties.
Key Responsibilities:
- Overall co-ordination of all operations.
- Overseeing and or conducting security surveys in both prospective and current client’s property and advising the Head of security Operations/Project Manager or client accordingly.
- Reconciling manpower with the actual jobs at the end of each month.

Job summary
The HR Officer-Malawi will work closely with the Head of HR, Malawi to ensure the implementation of Human Resource policies, procedures, and regulations which are aligned to Strategic and Business goals considering application of relevant laws and company policy. The incumbent will contribute towards the implementation of performance standards enabling our staff to contribute their best. The Technician will be responsible for the physical installation and maintenance of security systems as assigned in line with SOPs.
Key responsibilities
The incumbent is responsible for installation and maintenance duties that include but are not limited to:
- Domestic and Industrial electronic security systems installation

- Repair/Maintenance of electronic security systems

Job summary:
Updating suppliers accounts by posting invoices, reconciling the suppliers accounts with their statements, processing payment requests for the suppliers and following up issues arising from suppliers. Ensuring that the AP list is fully supported and reconciling with general ledger. Ensuring adherence to terms of payments set for suppliers.
Key Responsibilities:
Invoices posting and updating supplier’s accounts
- Receipting of invoices from suppliers.
- Matching invoices to LPOs and GRNs.
- Posting invoices to supplier’s accounts.
- Reconciling supplier accounts balances with suppliers’ statements.
Suppliers payments requisition
- Preparing of payment requisition vouchers for suppliers who are due for payment – ensuring that vouchers are properly supported i.e. IR, LPO, Tax Invoice, ETR and signed to the mandate.
- Work hand in hand with Procurement department in ensuring that suppliers follow GW supplier payment processes and procedures.
- Preparing Intercompany related payments request, ensuring full support and tax requirements.

The Malawi HSE Manager will be responsible for ensuring compliance to the client and GardaWorld internal HSE requirements
Key Responsibilities
The incumbent is responsible for critical HSE duties across the GW Malawi Operation, and which include but are not limited to:
- Ensure that you are aware of and complete all the necessary requirements of the GardaWorld Business Management System that are assigned to your department and role, ensuring that records are maintained.
- Oversee and implement the requirements of the HSE Plan and associated Annexes at branch and Tier 1 level.
- Ensure fire risk assessments are conducted and reviewed annually for all GW offices, kennels and clients as applicable.

Duties and Responsibilities
- Ensuring Maintenance of healthy public relations with the client, local communities, authorities, and other contractors.
- Responsible for compiling and submitting on time all scheduled and emergent reports to the Project Manager on state of security on the estate/area including crime statistics in order to come up with proper crime mitigation and control measures.
- Providing assistance to Operations and Project Managers in carrying out investigations of threats whether overt or covert that are directed towards clients business interests.
- Conduct internal investigations by attending to tip off anonymous cases which need the input of the security team and submitting reports to relevant managers for appropriate action.
- Compiling and submitting daily incident report to Operations and Project Managers.
- Responsible for building a network of informants for intelligence gathering for pro -active crime management.

Key Responsibilities:
KENNELING
- Ensure all dogs are well kennelled in serviceable kennels with routine maintenance procedures such as repairs, renovations, unclogging of drains and gutters, sweeping of roofs etc.
- Ensure kennels are sufficient for all dogs at any given time and keep a few extra for new dogs or dogs in transit from/to other regions.
- Routine maintenance to be done by kennel staff and craftsmen where needed under the dog master’s supervision.
FEEDING
- Follow up food order from the veterinary clinic and ensure receipt of ordered stocks in the stores, adhere strict distribution of the same during issue to kennel staff while maintaining all relevant records as required.
- Report low levels of food stock in good time to the procurement in good time to allow ordering from the suppliers.
- Supervise kennel staff during actual feeding and especially when supplements are given such as milk, calcium lactate, meat and / or vegetable oil to ensure compliance.
- Receive all left over food portions from kennel staff and the end of the day before loading commences.
CLEANLINESS AND GENERAL HYGIENE
- Supervise daily cleaning and disinfection procedures within and around the kennels to the expected standards.
- Plan and carry out cleaning and disinfection strategies with the veterinarian from time to time to ensure strict hygiene and elimination of foul odours.
- Supervise and inspect daily routine drainage unclogging and disinfection to avoid overflow and foul odours.
- Ensure assigned staff cleans the vehicle dog carriers daily to recommended standards and this to be done as early in the day as possible to ensure the kennels are dry before dogs are loaded.
- Be in charge of all cleaning implements and agents such as detergent and disinfectants to issue the same to the kennel staff.
- Inspect cleaning implements such as brushes and poop scoopers from time to time to ensure they are serviceable.
TRACING DOG MOVEMENTS
- Record all dog movement activities within Racecourse kennels and between Racecourse and kennels of other regions. This includes receipts of imports from other countries acquired by the company or purchased locally. Departure to other regions should also be recorded as they occur.
- Always note in the daily occurrence book the status of each dog thus moved in terms of general health and relevant authority from the veterinary clinic.
DAILY DOG LOADING AND OFFLOADING
- Ensure all dogs assigned to clients are loaded into their respective carriers by the kennel staff starting 1600hrs daily. Countercheck all dogs to be loaded with the veterinary clinic and the operations office to avoid deploying sick dogs or dogs to wrong clients.
- Supervise loading to safeguard all dogs thus loaded from injury due to negligence or ignorance in the part of kennel staff involved.
- Supervise offloading of dogs as soon as they arrive back from assignments and as much as possible aim at offloading dogs within ten (10) minutes of arriving at the kennels.
- Any health or operation issues noted during loading or offloading including reports from the field should be communicated to the relevant office (veterinary clinic or operations) promptly for further attention.
ORGANISING WORK SCHEDULES
- The Kernel master in consultation with the administration will be in charge of organising all duty schedules for kennel staff including leave schedules and ensure the schedules are printed in good time and displayed prominently around the facility and copies also sent to the relevant administrative office.
- Any alterations to schedules should be done under consultation with the kennel staff, Kernel master and the administration.
- Arrange work schedules in the most efficient and cost effective way to ensure fairness and that the schedules help staff achieve company objectives.
ROUTINE ECTOPARASITE CONTROL
- In consultation with the veterinary clinic, the dog master will be in charge of the plunge dip and dipping agents used therein. This includes supervision of routine dipping 0f dogs and changing of used dip. The ratios must be submitted to Operations and Admin/ Assistant Ops Manager and Country Operations Manager
- The Kernel master will also be in charge of environmental spraying of kennels and surrounding to eradicate fleas, ticks and flies as directed by the veterinarian.
PROJECTS
- The Kernel master will oversee the initiation and completion of all projects involving kennel maintenance and renovations. These should be done within set guidelines and time frames and progress reports for the same must be submitted as needed. When needed, the Kernel master will raise quotations/proposals for projects aimed at improving the kennels and outside dog runs under the supervision of the management.
EQUIPMENT
- The Kernel master will be in charge of the entire dog handling equipment i.e. leashes, choke chains, and harnesses in liaison with canine operations and the store keeper. He/she will ensure serviceability of the same reporting any damage to the same.
- In conjunction with the canine operations he/she will ensure matching of all working dogs with complete sets of equipment on deployment.Routine cleaning and disinfection of harnesses and leashes will be done under the Kernel master’s supervision.
MISCELLANEOUS
- The Kernel master will supervise all staff involved with gardening, litter management and repairs.
- The Kernel master will enhance discipline of the kennel staff working at the canine centre in terms of duty hours, handing and taking over of duties, personal dress code and cleanliness and adherence to the company’s code of conduct.

The positions are tenable in Lilongwe and reporting to the Control room supervisor, the Control room operators who are uniformed officers shall have the following duties and responsibilities:
- Ensuring that company vehicles are always stationed at their normal base and authorised routes.
- Obtaining attendance of crews, drivers, riders and other required staff members 30 minutes after shift commencement and inform the operations leadership through email and designated channels.
- Ensuring that the mobile response vehicles are manned according to the company standards during the day and night.
- Reporting any issues regarding vehicle defects to the Fleet, Operations and Administration Management.
- Reporting any issues regarding drivers and vehicle services or maintenance and ensure that vehicle movement sheets are collected by the field officer and submitted to the Fleet Controller.
- Ensuring adherence to radio procedures and ensure that the crews are adhering the same and report any breach of this procedure.
- Ensure that vehicles are refueled during off peak hours and obtain the fuel read out as per each vehicle at the start of your shift.
- Ensure that the vehicle movement logbook is properly and accurately logged and any irregularity to be reported at once.
- Ensuring that the vehicles are monitored through GPS tracking system and report immediately any unauthorized movement to the Managers.
- Ensure acknowledgement of every alarm and dispatch the response vehicle within the agreed time of 5 minutes and any delay must be reported to the Managers with reasons.
- Ensure that vehicles are not making any illegal trips/movement and report any illegal trips to the Managers and ensure that no vehicle leave their base without any authority from the control room.
- Monitoring GEPS and ensure communicating with Field Officers/respective area managers for any fail to patrol signals and any guards’ negligence and prepare GEPS report at the end of tour of duty. Preparing incident report before the end of tour of duty to the Managers.
- Ensuring that clients are immediately informed for every burglary alarm incident including Managers.
- Ensure that night managers are informed of any incident during the night and any sick/injured guards are taken to local hospital.
- Ensuring prompt reporting any accidents involving company vehicles or staff to the Manager and reporting any defective alarm to the technical manager and record it in the defaults book for rectification.
- Responsible for answering telephone and wireless messages on time and treat everyone with respect and courtesy.
- Ensure that the dogs are deployed on time and collected on time and that the dog deployment book is submitted to the Managers.

- Patrolling and monitoring activities on the deployment premises regularly to discourage criminals and ensure the environment is safe and secure as per Post SOPs.
- Evicting trespassers and violators and detaining perpetrators while following legal protocols before relevant authorities arrive to take over.
- Controlling the entrance and departure of employees, visitors and vehicles according to protocols.
- Monitoring surveillance cameras to watch out for any disruptions or unlawful activities if supplied by the same.
- Providing detailed reports on daily activities and any incidents that may have occurred to supervisors.
- Testing security systems like alarms if needed.
