Job Title: Finance and Administration Officer

  1. About the CBNRM Forum
    The CBNRM Forum is a national umbrella network of community-based organizations (CBOs)/Associations engaged in co-management of protected areas in Malawi, such as national parks, game reserves, and forest reserves. Established in August 2023, the Forum offers governance and technical support to ensure member Associations are capable of fulfilling their co-management responsibilities to benefit both conservation efforts and livelihoods of adjacent communities.
    Following a grant from the Tilitonse Foundation and Comic Relief, the Forum now seeks to hire a competent and highly motivated Finance and Administration Officer.
  2. Job Summary
    The Finance and Administration Officer will oversee financial management, administration, asset control, treasury, and procurement processes. The role supports effective office operations and provides financial guidance to member Associations when required.
  3. Core Responsibilities
    1. Financial Management
      • Maintain accurate records: bookkeeping, ledgers, reconciliations
      • Process payments, manage petty cash, and fund disbursements
      • Prepare monthly, quarterly, and annual financial reports
      • Assist in budgeting, monitoring, and variance analysis
      • Ensure compliance with tax and regulatory obligations
    2. Administration Support
      • Manage general office operations, filing systems, and correspondence
      • Oversee office supplies, utilities, and service contracts
      • Coordinate logistics for meetings, workshops, and staff travel
      • Maintain administrative and financial documentation
    3. Procurement & Logistics
      • Facilitate procurement in line with donor and internal procedures
      • Prepare procurement plans, RFQs, and purchase orders
      • Coordinate logistical support for program activities

4. Qualifications & Experience

  • Bachelor’s Degree in Accounting, Finance, or Business Administration plus a Diploma-level professional accounting qualification
  • Minimum 5 years of finance, admin, and procurement experience (NGO/donor-funded project experience preferred)
  • Proficiency in accounting software (e.g., QuickBooks, Pastel) and MS Excel
