Advancing Girls’ Education in Africa (AGE Africa) emphasizes the crucial role of targeting adolescent girls in achieving women’s socio-economic empowerment. Our approach comprises scholarship initiatives, peer-driven life skills curriculum, and post-secondary transition support, resulting in over 95% of our beneficiaries completing secondary school, with 55% progressing to higher education. In recent years, we have doubled the number of secondary and tertiary scholarships provided and expanded our CHATS Girls Clubs throughout Malawi, recognizing the significant impact of experiences, knowledge, and skills acquired during adolescence on future prospects.

Position Overview:
Advancing Girls’ Education in Africa (AGE Africa) seeks a Malawi National to serve as AGE Africa’s Finance and Administrative Officer to lead and coordinate the effective management of finance and general administration functions. The Finance and Administrative Officer shall be accountable to the Country Director to ensure that finance and administration management systems that meet the organisations’ and donors’ standards are established and adhered to. S/He shall be expected to liaise with the U.S. office and U.S. Finance Consultant and support all Malawi-based staff in planning and managing financial and operational resources, maintaining accurate records, and supporting our general office needs, including information technology. This position is based in AGE Africa’s Blantyre office.

AGE Africa’s vision is that girls in Malawi become leaders of change in their families, communities, and country in both the public and private sectors as a result of equal access to and completion of secondary and post-secondary education or training.

Principal Duties & Responsibilities Include (but are not limited to)

Finance 70%

  • Work with the Executive Director, Country Director, and Finance Consultant to manage AGE Africa’s finance systems, AGE Africa Malawi Accounting Policies and Procedures, and AGE Africa Conditions of Service.
  • Maintain financial books and records for financial transactions
  • Review staff expense logs for accuracy monthly, enter all expenditures and transfers into QuickBooks, and perform other required duties.
  • Ensure banking arrangements support AGE Africa activities and bank transactions conform to AGE Africa’s policies and procedures.
  • Serve as a controller for cash disbursements, payroll, Malawi Revenue Authority compliance, insurance, and other related items.
  • Support the budget process of grant proposals to potential funders/donors.
  • Support the annual program budget process for programme expenditures.
  • Monthly, track and monitor country programme expenditures to ensure they conform to budgetary provisions.
  • Create monthly/quarterly financial reports for the Country Director.
  • Submit monthly/quarterly financial reports to the U.S. Finance Consultant.
  • Support organizational financial audits.
  • Provide guidance to staff on administration and finance procedures and work with the team to troubleshoot problems in these areas.

Administration

  • Oversee essential Human Resources functions, including maintaining personnel files, leave requests, benefits disbursements, and payroll and taxation.
  • Managing the optimal utilization of AGE Africa’s resources, such as organisation assets
  • Ensure procurement systems are adhered to according to the organization’s/partner’s policies.
  • Supervise administrative team members in the Blantyre Office.
  • Performing other duties relevant to finance and administration as may be assigned to her/him from time to time by the Country Director.
  • Respond to requests for information from the U.S. office on an ongoing basis.

Qualifications

  • University degree or equivalent qualification in Accounting, Finance, and Audit.
  • At least five years of experience working in administration and finance with an international organization/NGO.
  • Proficiency with QuickBooks, SAGE, and other accounting software is required.
  • Fluency in Microsoft Excel is required.
  • Prior experience with Dropbox, Google Drive, and/or other cloud-based file storage systems is required.
  • Computer literacy and competence with a wide range of software used in administration and financial management are essential.
  • Excellent attention to detail and superior organizational skills are required.
  • Solutions-oriented and experience in process improvement are a plus.
  • Procurement knowledge.
  • Strong analytical and problem‐solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work and interact with people from diverse, professional, social, and cultural backgrounds required.
