Communications & Knowledge Management Officer

Key Responsibilities:

Knowledge/content Creation and Documentation:

  • Build and maintain content knowledge– work with the project coordinators, WVM communication team, partners, and learning champions in the production of all THRIVE communications content
  • In close collaboration with the communications manager to produce quality content documents for positioning WV Malawi efforts towards attaining child well-being including annual reports, publications, fact sheets, briefs, stories.
  • Document and share learning – in collaboration with THRIVE Design Monitoring and Evaluation officer ensure that project achievements, lessons learned and best practices for the project’s promotion activities, events, and other Knowledge Management activities are clear and well documented
  • Identify, develop, write and edit material (for general public and specific target audiences) on the project and its activities including WVM website updates, newsletters, PowerPoint presentations, etc. This includes ensuring timely dissemination and exchange of information on the programme to key audiences, including Partners, donors, media, relevant organizations and institutions, government, etc
  • Assist the projects M and E Officer to critically appraise survey reports and documentaries
  • Support THRIVE M and E Officer to arrange outsourcing as necessary for services such as translations, design, printing, video production, etc. and ensure necessary liaison with the THRIVE project team on content and Finance Officer on budgetary matters
  • Maintaining a collection of physical (reports, documentaries, etc.) and digital resources and a photo library for evidence-based communication
  • Gathering evidence of impact of World Vision’s programmes, writing and packaging of high-quality, child-led compelling content i.e., stories, photos, videos, et cetera to be used for marketing, media, advocacy and fundraising as well as donor engagement.
  • Research and author communication pieces, blogs, success stories and package them for various audience and platforms to show impact of THRIVE Projects and other WV Malawi Office Projects
  • Knowledge Management System Development
  • Design the knowledge management and engagement plan
  • To lead the development, plan and support the implementation of THRIVE Project Knowledge Management Strategy in line with World Vision requirements.
  • Provide expert advice to the THRIVE Project Manager and DME Coordinator on the development and implementation of the projects Knowledge Management System and follow up on the implementation of actions in the work plan and tasks.
  • Develop new approaches for THRIVE project on matters related to the projects Knowledge Management System
  • Ensure that all systems supporting Knowledge Management work in an integrated fashion and are appropriately supported and developed to guarantee a high and continuing level of efficiency benefit to the project

Knowledge Identification, Capture and application

  • Establish knowledge requirements for quality work and capture lessons learned from the project
  • Reinforce usage of WVM policy on knowledge management and develop mechanisms to support management of THRIVE Project knowledge.
  • Facilitate and monitor knowledge management-related activities and programmes
  • Strengthen and promote knowledge management and communication techniques, methodologies and processes within the THRIVE programming
  • Set THRIVE Project Network learning agendas through facilitating stakeholder input and consensus building activities in meetings and events.
  • Help ensure field perspectives are reflected in all the project outputs
  • Participate in the larger knowledge management community/ knowledge sharing events including monthly seminars/webinars, workshops, conferences, and peer learning sessions in order to update the THRIVE Project team on knowledge management trends and learning.
  • Encourage cross-functional team collaboration within THRIVE staff and strengthen linkages with grant funded projects for collaborative activities

Information and Database Management:

  • Support the THRIVE Monitoring and Evaluation Officer to ensure collection, storage, distribution, integration and application of information and knowledge within the project.
  • Support the THRIVE DME Officer in the design and usage of the database
  • To assist in the projects database issues management in collaboration with THRIVE DME Officer, WVM IT and quality assurance department
  • To ensure that the maximum amount of useful information is extracted from the projects data systems and enhance real time availability for decision making
  • Identify strengths and weaknesses in existing data collection and management systems and propose solutions
  • To act as the projects data protection officer by ensuring that WVM data protection policies are adhered to.

Brand alignment, graphics design, social and digital media

  • Create concepts and ideas to visually communicate our brand and goals for the organization
  • Conceptualize, design and execute print & multimedia marketing resources for effective promotion of corporate image and programmatic initiatives
  • Initiate design of key organization wide strategic publications such as strategy engagement materials, country office strategy
  • Strengthen World Vision’s brand identity by producing high quality brand aligned communication products that include digital media, reports, publications, flyers, posters, photos, web and graphic designs for internal and external audiences
  • Design compelling presentation materials for internal and external audience
  • Design compelling communications collateral for campaigns and programme initiatives and promotions and advertising
  • Ensure all photographs adhere to Child Protection protocols’ before shared externally

Knowledge Management Capacity Building:

  • Develop and implement relevant and necessary Knowledge Management capacity building plans to ensure Knowledge Management capacity is enhanced in the project
  • Building capacity of staff in existing projects information systems
  • Working with front line staff in resource gathering, interpretation, photography, character identification i.e., feature children/families, and photograph

Multi Stakeholder Partnership Building and Management:

  • Support GAM department to strategically build relationships and new funding partnerships and proactively pursue relevant opportunities.
  • Support the development of relationships between THRIVE team and media and press and other key stakeholders and manage donors, media and partners in the field

Budget Management, Program quality and delivery:

  • Work hand in hand with the THRIVE DME Officers to make sure that all program related challenges are documented and assumptions revisited on a regular basis to ensure risks and mitigating factors reflect the current context
  • Assist in the annual business development strategy and action plan for the project.
  • Support budgeting processes of the project.
  • Liaise and support the technical team to ensure that operational plans are aligned to budgets and that the two are implemented and monitored concurrently.

Minimum education, training and experience requirements to qualify for the position:

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:

1. Minimum qualification is a Bachelor’s degree in Development Communications, Journalism and Information Technology

2. Good level of proficiency in qualitative and quantitative analysis using statistical packages including SPSS, ODK, Advanced Excel e.t.c

3. Preferred experience of applying ICT (information communications technology) to knowledge management.

4.Knowledge of content and database management

5. Demonstrated ability to create and maintain effective working relations with government personnel, stakeholders, NGO partners, donors and media

6..Demonstrated ability to build capacity of staff and partners

9..Demonstrate ability to work well with national staff and international staff, and a passion for capacity building, staff and organization development.

10. Computer Literate in Microsoft Office, Lotus Note or similar database, email and Internet.

 

List additional work experience required as a minimum qualification for this position.

1.Around 2-3 years of experience in food security, agriculture and Natural Resource Management with significant experience in coalition management functions 2.Communications/media/advocacy experience gained via previous role (e.g. journalism, qualitative research, advocacy etc.).

Preferred Skills, Knowledge and Experience:

  • Excellent working knowledge of Microsoft Office, Adobe Creative Suite ( InDesign, Photo, Illustrator, Acrobat and Premiere).
  • Graphic designing experience
