BACK-OFFICE SUPERVISOR

LOCATION: Lilongwe Branch

JOB PURPOSE
Reporting to the Savings Manager through the Branch Manager, this position is responsible for ensuring that the branch financial operations are monitored on continuous basis and assurance through reports and audited records are provided on regular basis. Maintaining financial security by adhering to internal controls. Taking part in the implementation of a savings programs, by ensuring all the processes and procedures are undertaken in line with VFM’s savings policies, delivering successful marketing strategies for attaining new clients.

JOB DESCRIPTION

  • Documents financial transactions by entering account information.
  • Substantiates financial transactions by checking documents and recommending for corrective actions.
  • Maintaining accounting controls by preparing and recommending policies and procedures of good accounting practices.
  • Preparing payment vouchers and recommending or disorsements of tunds tortravel.
  • Preparing payment vouchers and recommending for disbursements of funds for travel, airtime allowance etc.
  • Ensure policies and procedures are applied consistently and uniformly on all savings accounts at the branch.
  • Conduct market visits to the catchment areas with a view to win more depositors.
  • Exchange information with the Savings Manager other branch staff and secure an adequate information flow within the branch operations.
  • Support the Branch Manager in setting performance targets for branch
  • Develop branch working area strategies for targeting potential clients and organization of frontline officers or Direct Sales Agents.
  • Ensure compliance of savings operation and accounting operations in line with regulatory requirements.
  • Review and analyze data to assess performance of savings products and effectiveness of operation policy and procedures.
  • Implement cost efficient and effective marketing products and strategies that are appropriate for the desired markets.
  • Cross selling of VFM products
  • Promoting VFM products and services
  • Taking a leading role in the implementation of deposit mobilization campaigns for the branch.
  • Carrying out marketing activities within the branch catchment areas.
  • Provide support and instruction of savings procedures for branch staff.
  • Work closely with all branch staff, operations and branch manager, partnering third parties, and committee team members to ensure effective communication on savings program initiatives.
  • Support the frontline staff who are responsible for implementation of savings program initiatives.
  • Build and maintain strong relationships with staff and managers to ensure open and fluid communication with head office and other third-party stakeholders.
  • Build and maintain strong relationships with clients and other stakeholders within Mchinji.
  • Taking part in the branch delinquency management programs together with operations the lending team.
  • Monitor violations of credit policies, provide analysis, conclusion and recommendations, present findings to branch management or senior management and suggest actions/penalties to be taken when appropriate.
  • Analyze delinquent accounts and prepare report on highest risk accounts including recommendations for resolution and provide regular updates of receivables to management.

Knowledge, Skills and Abilities

  • University Degree in Banking, Economics, Finance, Marketing, Management, or Business Administration from an accredited institution.
  • Must have clear understanding of microfinance industry and at least 5 years’ experience in a Deposit Taking Microfinance or bank
  • Must have extensive experience in accounts and finance or credit operations and project management.
  • At least 3 years’ working experience on supervisory positions, in a combination of following micro-enterprise lending organization, banking, institution, a progressive corporate environment international business, or economic and business development institution,
  • Should have excellent written and oral communication skills
  • Good analytical and problem-solving skills
  • Ability to work under pressure, independently, and self-motivated
  • Must be a mature and committed Christian
