The Confederation would like to invite applications from suitably qualified and competitive candidates to fill a vacant position of TEMPORARY PERSONAL ASSISTANT that has arisen within its establishment.
JOB PURPOSE
The Temporary Personal Assistant’s primary role is to work with the Chief Executive by providing him/her with top level assistance and enhance his/her effectiveness. The position is entrusted with complex duties and communications including handling incoming and outgoing calls, filing and clerical work as well as organizing notices and conducting and scheduling meetings. The position handles confidential communication as well. The position demonstrates the positive effects of the Confederation and how the Confederation impacts on the growth of its members
ROLES AND RESPONSIBILITIES
- Conserving the Chief Executive’s time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information and initiating communications.
- Producing information by transcribing, formatting, inputting and editing, retrieving, copying and transmitting text, data and emails.
- Maintaining the Chief Executive’s appointment schedule by planning and scheduling meetings, conferences and travel.
- Taking notes in some meetings, and drafts and sends out notices of the Confederation’s meetings.
- Welcoming guests, Council members, and direct the Chief Executive’s guests.
- Maintaining the Chief Executive’s and members confidence and protect the Confederation by keeping information confidential.
- Preparing reports, agendas, and needed documents by analyzing needed information with attention to detail.
- Contributing to team efforts by assisting other staff with work as needed.
QUALIFICATIONS, SKILLS AND COMPETENCES
- Bachelor’s degree in Business Administration, Mass Communication in addition to a diploma in Secretarial studies which is a MUST.
- At least five years’ experience as Personal or Executive Assistant;
- Excellent listening, and verbal and written communication skills
- Superior organisational skills and flexibility
- Ability to use digital communications including proficiency in excel, power-point, outlook, and word.
- Ability to manage multiple projects simultaneously
- Ability to work under deadlines with excellent follow-up
- People, interpersonal, and team skills
- Ability to solve problems.
