Partners in Hope (PIH) is a faith-based Malawian Non-Governmental organization that was established in 2004 to offer equitable health services and founded on robust commitment to support National HIV and AIDS response in Malawi. PIH has a medical center that operates a general outpatient clinic; inpatient wards; as well as a public HIV- focused Moyo Outpatient Centre of Excellence. PIH is incorporated under the provisions of Trustees Incorporation Act, 1962, in Malawi. With a Program Award under Cooperative Agreement No: 72061221CA00010 “Client-Oriented Response for HIV Epidemic Control (CORE -1) Activity Component One (1)” by the United States of America PEPFAR through USAID, PIH supports HIV Care and Treatment implementation in 123 Ministry of Health, CHAM and Private health facilities in 9 districts across Malawi (Mulanje, Chikwawa, Lilongwe Nsanje, Dowa, Kasungu, Nkhotakota, Karonga, and Chitipa. Under the CORE 1 Cooperative Agreement, PIH is seeking to recruit highly motivated individuals to be deployed in various districts across Malawi in the following position:
FINANCE OFFICER (1) LILONGWE
Location: PIH supported Districts
Reports to: Accountant
Position Summary
The Finance Officer provides direct assistance to the grants Finance Team to help ensure the highest levels of detail and accuracy in all financial transactions.
Responsibilities
- Mobile money & Electronic funds transfers
- Prepare a validation template using registers from facilities
- Use the Mobile Money Calculator of accurate amounts
- Validate in the Mobile Money System to check for errors before making the payment
- Complete the Payment template before generating
- Generate and upload the transactions
- Prepare an EFT template
- Upload and verify the uploaded EFT Schedule
- Assist in data capturing in QuickBooks
- Work closely with the Payroll & VAT Accountant to ensure
Payroll is completed accurately and on time each month. - Work closely with the HR Office to ensure Payroll is completed accurately and on time each month.
- Ensure timely collection of Timesheets/Overtime forms/relevant documents from HR for payroll processing.
- File all payrolls and copies of Timesheet and other supporting documentation monthly.
- Assisting the Payroll & VAT Accountant in responding to payroll queries monthly.
- Prepare Payroll Third Parties Schedules for payment
- Ensure that all payroll third party payments are done timely and accurately.
- Work closely with the Payroll & VAT Accountant for each Grant to obtain the VAT reimbursement amounts as requested from MRA.
- Assist the Payroll &VAT Accountant in collecting VAT summary for each project and reconcile with original documentation
- Assist the Payroll & VAT Accountant in processing the STIlA summary sheet and submit to MRA for review and to USAID for cover letter approval then submit the final STIlA.
- Assist in filling all reimbursements requests and supporting documentation according to each project.
- Copy, file and manage paperwork in a highly organized manner
- Assist with other job duties for all grants as requested.
Required qualifications
- Bachelor’s Degree in Accountancy or Finance obtained from an accredited University recognized by the National Council for Higher Education (NCHE) with at least 4 years of relevant experience in a similar position Must be a member of ICAM
- Team player, self-starter, focused and attention to details
- Hands on experience in QuickBooks
- Good communication skills in English and Chichewa
- Proficiency experience in Power point, Excel and word
- Hands on experience with Electronic funds transfer payments
- Those with experience in USAID grants management will have added advantage
