
Partners in Hope (PIH)
Partners in Hope (PIH) is a faith-based Malawian Non-Governmental organization that was established in 2004 to offer equitable health services and founded on robust commitment to support National HIV and AIDS response in Malawi. PIH has a medical center that operates a general outpatient clinic; inpatient wards; as well as a public HIV- focused Moyo Outpatient Centre of Excellence. PIH is incorporated under the provisions of Trustees Incorporation Act, 1962, in Malawi. With a Program Award under Cooperative Agreement No: 72061221CA00010 “Client-Oriented Response for HIV Epidemic Control (CORE -1) Activity Component One (1)” by the United States of America PEPFAR through USAID, PIH supports HIV Care and Treatment implementation in 123 Ministry of Health, CHAM and Private health facilities in 9 districts across Malawi (Mulanje, Chikwawa, Lilongwe Nsanje, Dowa, Kasungu, Nkhotakota, Karonga, and Chitipa. Under the CORE 1 Cooperative Agreement, PIH is seeking to recruit highly motivated individuals to be deployed in various districts across Malawi in the following positions:
FINANCE ASSISTANTS (4) MULANJE & LILONGWE
Location: PIH supported Districts
Reports to : Finance Officer
Position Summary
The Finance Assistant provides direct assistance to the grants Finance Team to help ensure the highest levels of detail and accuracy in all financial transactions.
Responsibilities
- Assist in data capturing in QuickBooks
- Copying, filing and managing all paperwork in the Finance Unit in a highly organized manner.
- Follow up on payments which are due for Liquidation and make sure all correct documentation is provided for every expense (invoices, receipts, and any other supporting documents as required).
- Scanning payment vouchers and supporting documentation as required.
- Review documentation for liquidations prior to submission to donors. Each voucher and supporting documentation will need to be checked to ensure the amounts add up to the numbers in the liquidation report provided.
- Work closely with external teams to ensure all requests and payments are processed in a timely manner.
- Provide the programs teams with the necessary funds, budgets and check list indicating what documents are required from the training to support the expenses incurred.
- To ensure that all supporting documents are received for all expenses paid no later than 30 days after payment.
- Make cash deposits as needed.
- Filing of completed Payment Vouchers into the proper filling system and updating file folders as required.
- Oversee processing payments for various programs in the field.
- Follow up with the team after the activity is completed to ensure all expenses are documented and all required supporting documents are provided.
- Provide a budget verses actual report at the end of each training / meeting.
- Support yearly audits.
- Be available for any other job assignment that may be necessary to assist the Finance Team.
Required qualifications
- Bachelor’s Degree in Accountancy or Finance obtained from an accredited University recognized by the National Council for Higher Education (NCHE) with at least 2 years of relevant experience in a similar position
- Must be a member of ICAM
- Team player, self-starter, focused and attention to details Hands on experience in QuickBooks
- Good communication skills in English and Chichewa Proficiency experience in Power point, Excel and word
- Those with experience in USAID grants management will have added advantage
