Human Resource and Administration Officer

A Christian faith mission institution is seeking to recruit a Human Resource and Administration Officer to be based at its headquarters in Lilongwe.

Role Summary

The primary role of this position is to provide HR and Administration support services by working closely with the internal stakeholders to ensure timely HR statutory compliance, recruitment, selection, employee onboarding, administration, finance, accounting, payroll processing and reporting.

Key Duties and Responsibilities

  • Coordinate staff recruitment, orientation and on-boarding processes for new staff including overseeing the adaptation of new staff to the new environment throughout the probation period.
  • Processing of the monthly payroll, bank transfers, and ensuring that all statutory payments are duly made in line with the laws of Malawi.
  • Coordinate administration of staff remuneration and benefits in collaboration with the Mission Director, ensuring alignment with government laws and regulations.
  • Coordinate staff performance management by assisting managers in drafting and implementing business related performance goals for their staff members.
  • Ensure effective, efficient and up to date personnel records and systematic filing of documents. Ensuring confidentiality is maintained and adherence to information security standards.
  • Support the Finance Manager in the development and monitoring of the project’s annual budget.
  • Monitor and control current expenditures to ensure that expenditures remain within available funding and approved budgets.
  • Prepare and analyze financial statements, including income statements, balance sheets, and cash flow statements.
  • Generate monthly, quarterly, and annual financial reports for mission management and external stakeholders.
  • Oversee accounts payable processes, ensuring accurate and timely payments to vendors and suppliers.
  • Ensure compliance with financial regulations, such as the MRA, Pensions.
  • Prepare and submit necessary financial reports to regulatory agencies

Attributes, Knowledge and Skills

  • Maintains a personal relationship with Jesus Christ. Is a consistent witness for Jesus Christ, maintains a courteous, Christlike attitude in dealing with people within and outside the mission
  • Must have a bachelor’s degree in Business Administration, Human Resources or any other related field of study.
  • A qualification in Accounting or Finance will be added advantage
  • Minimum of three (3) years’ experience in Human Resource, Finance and Administration.
  • Must be good at preparing, analysing and reporting personnel and finance data.
  • Proficient in MS office tools, HRIS and any of the trending accounting packages.
  • Excellent Communication and organization skills
  • Good understanding of Malawi labour laws.
  • Familiar with Performance Management processes
  • Attention to detail
  • Demonstrates a sound work ethic and is consistent and fair in making decisions.
  • Proven Leadership skills
