Concern invites applications from interested candidates qualified for the following positions;
1. Administration Support Officer – (Maternity cover 1 Vacancy)
Duration: Six (6) Months
Duty Station: Lilongwe
The Administration Support Officer will support the HR and Administration Manager in the implementation of human resource and administrative functions. The Support Officer provides support in recruitment, employee records management, office administration, and general HR operations while contributing to the organization’s effectiveness.
Tasks and Responsibilities
- Ensure the full procurement process for all administration related supplies, ensuring that the process outlined in Concern’s Procurement Guidelines are followed at all times. Collate the requests from Head office and programmes
- Carry out any float procurements by requesting payments, doing the procurement, submitting the verifying paperwork to Finance
- Assist in recruitment processes, including scheduling interviews and communicating with candidates.
- Maintain and update employee records and personnel files.
- Support the Human Resource and Administration Manager with employee onboarding and orientation activities.
- Assist in preparing employment contracts, letters, and HR documentation.
- Help maintain leave, attendance, and training records.
- Support staff welfare and employee engagement activities.
- Assist in compiling HR reports and maintaining HR databases.
- Ensure confidentiality of employee information.
- Provide administrative support to the office.
- Assist in managing office supplies and inventory.
- Support travel and meeting arrangements.
- Maintain office filing systems, both electronic and physical.
- Receive visitors and respond to routine inquiries.
- Assist in coordinating logistics for workshops, meetings, and events.

Qualifications
- Bachelor’s degree in human resource management, Business Administration, Public Administration, Industrial Psychology, or a related field.
- Basic understanding of HR principles and administrative procedures.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
- IT and digital literacy, including Microsoft Office and ERP systems (e.g., Unit 4).
- 3 years experience in human resource and administration
- Strong communication and interpersonal skills and good organizational and time management skills.
- High level of integrity and confidentiality and attention to detail.
- Willingness to learn and take initiative and good problem-solving skills.
2. Standby Drivers – Part time (2 Vacancies)
Duty Station: Lilongwe
The Standby Driver position is an on-call position where the driver will be requested, when necessary, to support the existing Concern Worldwide drivers during times of high workload.
The Standby Driver position is an on-call role in which the driver will be requested, as needed, to support Concern Worldwide’s existing drivers during periods of high workload.
- Drive Concern Worldwide vehicles for programme activities throughout Malawi to facilitate the safe movement of personnel.
- Ensure the safety of staff and resources, maintain vehicles in good condition, and handle and process travel documentation. Ensure the security of passengers in accordance with Concern Worldwide policies and comply with all traffic and other relevant laws, including speed limits.
- Ensure that passengers observe all security measures established by Concern Worldwide, including the requirement to put on seat belts at all times.
- Complete vehicle check sheets and accurately maintain all required documentation, including vehicle logbooks, fuel supply sheets, and any requested reports, submitting them on time.
- Ensure that loads and cargo are secure and transported safely, with all necessary delivery documentation correctly completed. Report any vehicle management issues immediately.
- Ensure the assigned vehicle is kept clean, both inside and outside.
- Ensure the assigned vehicle has all relevant documentation, including a valid Certificate of Fitness (COF) and insurance, and is roadworthy at all times.

Minimum Qualifications:
- A clean valid driving license, trained in defensive driving with a Malawi School Certificate of Education, basic computer skills and able to converse and write in English
- At least 4 years of experience in similar role in an INGO and experience in basic vehicle maintenance
- Must be computer literate
3. Procurement and Administration Intern – (1Vacancy)
Duration: Six (6) Months
Duty Station: Lilongwe
The Procurement and Administration Intern will support the Administration and Procurement team in the implementation of administrative support functions. The internship provides practical experience in, employee records management, office administration, procurement and general office operations while contributing to the organization’s effectiveness.
Specific Intern Outputs
- Help maintain leave, attendance, and training records.
- Assist in compiling HR reports and maintaining HR databases.
- Provide administrative support to the office.
- Support office filing systems, both electronic and physical.
- Receive visitors and respond to routine inquiries.
- Assist in coordinating logistics for workshops, meetings, and events.
- Perform other administrative duties as assigned.
- Support in conducting vendor verification and collecting required documentation
- Participate in the evaluation and review of offers and ensure compliance to both administrative and technical compliance to procurement requirement
- Assist in the preparation of procurement documents; reviewing purchase requests, purchase order preparation and submitting all procurement files to finance
- Ensure all procurement and administration files are filed electronically

Qualifications
- Bachelor’s degree in Business Administration, Supply Chain Management, Logistics or any related field.
- Basic understanding of administrative procedures.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
- Previous internship or volunteer experience is an added advantage.
- Strong communication and interpersonal skills and good organizational and time management skills.
- High level of integrity and confidentiality and attention to detail.
- Willingness to learn and take initiative and good problem-solving skills.
4. Finance Intern – (1 Vacancy)
Duration: Six (6) Months
Duty Station: Lilongwe
Specific Intern Outputs
- The intern will support the finance Support officers in filing all payment vouchers, arranging them before filing in the box files and will ensure that these are correctly stored/archived and that all relevant information exists in those files.
- Ensure scanned documents are clear, accurate, and properly organized.
- Updating the finance documents, labelling and assigning numbers in a chronological order for each box file He/She will offer support to the Finance Support Officers in updating the bank and Cash books
- Update and maintain the organization’s digital filing system.
- Step in the Finance support officer’s role and facilitating participants payment
- Working on accounts reconciliation on weekly and monthly basis
- Supporting the finance staffs in retrieving documents for audit and any other donor/ regulatory compliance review
- Any other additional tasks from supervisor
Qualifications and Experience
- Degree in business Administration/ Accounting or related field
- Those studying towards chartered accounting qualification will have an added advantage
- No Experience required
- Candidate should have good knowledge of Microsoft office packages with a bias in MS excel
- Candidate should have good organisational skills. Ability to put both softcopy and hard copy records in proper order with adequate reference.
