Abt Associates seeks to recruit Short-Term Finance Assistants to support the International Development Division on a United States Agency for International Development (USAID)-funded contract to refine the early grade reading assessment system in Malawi and build the capacity of communities, teachers, and Ministry of Education, Science, and Technology (MoEST) to consistently use this system to improve learner outcomes. The Finance Assistants will be stationed in 32 Education Districts across Malawi for a period of approximately 30 – 60 days to support the countrywide teachers training. This position will require extensive travel within the assigned district as well as to and from Lilongwe.

Key Roles and Responsibilities

  • Attending and fully participating in YESA finance and administration training (related to programmatic/project activity of teacher training)
  • Ensuring that all advance liquidations have adequate and bona fide supporting documents i.e. registration sheet, signing sheet, receipts, reconciliation sheet, summary sheet and deposit slips in cases where there are balances on the advance
  • Working hand in hand with the PEA in ensuring that participants attending the trainings are the ones whose names are on the list of attendees
  • Documenting all names of attendees whose names were not on the pre-filled lists but have attended the meeting and did not receive allowances.
  • Communicating all challenges and any issues rising from the financial administration of trainings immediately to your supervisor
  • Compiling and properly organizing all documentation necessary to support the training expenditures
  • Reconciling the advance liquidations after the training and ensuring that all advance balances are immediately deposited back into Abt’s account intact
  • Draft expenditure reports as necessary
  • Work closely with the YESA F&A office to address any outstanding issues related to financial administration
  • Ensuring that all expense claims have adequate supporting documents
  • Ensuring that all supporting documents are kept safe and intact
  • Deliver all supporting documents to the Abt Associates office in Lilongwe
  • Other duties as requested by the F&A Manager

Preferred Skills

  • A high school diploma or equivalent
  • A minimum of one year experience as a clerical or survey assistant
  • Must have a WhatsApp enabled phone for easy communication
  • Detail oriented
  • Fluency in English

Minimum Qualifications

  • High school diploma (desirable) plus one year experience in clerical or survey
