Habitat for Humanity Malawi (HFHM), affiliated to Habitat for Humanity International is a nonprofit Christian Organization aiming at improving housing conditions in Malawi.  HFHM was established in Malawi in 1986 and has assisted over 41,000 families through different housing solutions.  In addition to housing, HFHM has undertaken water and sanitation projects and Disaster Prevention and Recovery in peri-urban and rural areas.

Habitat for Humanity Malawi has the following vacant position to be filled in support of its main activities at its Offices in Lilongwe.

PROCUREMENT ASSISTANT – LILONGWE

Position Summary

The procurement assistant will support the Procurement officer in executing all procurement roles aimed at delivering effective, efficient, economic, and accountable programs. The position holder therefore requires good judgement and professionalism in handling procurement of goods, services and works to protect the interests of the organization and ensure compliance to established policies, procedures, and laws of Malawi.

Roles and Responsibilities

  • Receiving procurement requisitions, ensure completeness and correctness of procurement requisitions before processing, accounting dimensions, authorized signatures, budget allocations and descriptions.
  • Raise requests for quotations and get quotations from approved vendors for all goods and services.
  • Assist in coordinating the selection of vendors and submit a proposition to the procurement Officer for goods and services above threshold.
  • Prepare summary of bid analysis for all procurements and get them approved.
  • Prepare and maintain purchasing records, procurement reports and price lists.
  • Work with internal and external stakeholders to determine procurement needs, quality, and delivery requirements.
  • Ensure orderly, complete, and effective filing system of administrative records and documents related to procurement.
  • Comply with and maintain knowledge of applicable rules, legislation, regulations, standards, and best practices.
  • Develop and maintain constructive and cooperative working relationships with colleagues and management.

Required Qualification

  • Advanced CIPS Diploma in Procurement and Supply (Level 5) or any other equivalent qualification from a reputable and recognized institution.
  • 3 years’ experience working in procurement.
  • Knowledge of computer programs including Microsoft Office products and Procurement applications.
